Operating nationwide, we focus on delivering efficient, customer-centric solutions supported by innovative technology and a committed team of experts.
About the Role
We are looking for an organised, proactive Installation Planning Coordinator to join our Customer Operations & Service Delivery team.
You will be responsible for the day-to-day coordination of EV charger installations across our in-house engineers and subcontractor partners, with a focus on effective scheduling, engineer calendar optimisation and customer communication.
Working alongside our automated scheduling systems, you will actively review installation schedules, identify opportunities to reduce engineer downtime, coordinate subcontractor activity and manage appointments requiring manual planning or intervention.
You will also be responsible for keeping customers informed, coordinating changes to installation arrangements and ensuring accurate information is maintained across our systems.
Key Responsibilities
Installation Planning & Engineer Optimisation
· Proactively review engineers’ calendars to identify scheduling gaps, reduce downtime and make effective use of available installation capacity.
· Coordinate installation appointments requiring manual intervention, operational review or customer-specific arrangements.
· Manage revisits, incomplete installations, follow-on works and rescheduled appointments.
· Adjust installation schedules to accommodate customer availability, engineer and subcontractor capacity, operational requirements and scheduling conflicts.
· Identify opportunities to improve installation flow and maximise engineer utilisation.
Subcontractor Coordination
· Monitor subcontractor job allocations, appointment bookings and installation progress to ensure work is progressing within expected timeframes.
· Liaise directly with subcontractor partners regarding scheduling, availability, workloads, delays and outstanding installations.
· Follow up on un-booked or delayed installations and coordinate the necessary actions to progress outstanding work.
· Maintain visibility of subcontractor workloads and support effective use of available capacity.
Live Installation Monitoring & Operational Support
· Monitor installation activity throughout the day, maintaining communication with engineers and subcontractors regarding job status, progress and completions.
· Identify potential scheduling conflicts, delays or operational issues and take appropriate action to minimise disruption.
· Coordinate with internal teams to address operational challenges, resource pressures and scheduling requirements.
· Escalate significant operational concerns or recurring issues where appropriate.
Customer Communication
· Proactively communicate with customers regarding installation appointments, scheduling requirements, updates and changes.
· Manage customer expectations, providing clear and timely information throughout the installation journey.
· Coordinate customer-specific requirements, arrange revised appointments and ensure customers are informed of any changes.
· Maintain a professional and customer-focused approach to all communications.
Systems & Administration
· Maintain accurate scheduling records, installation statuses, operational updates and customer communication notes.
· Ensure appointment changes and installation progress are accurately recorded within company systems.
· Support operational and planning reporting activities.
· Provide feedback on recurring scheduling challenges and opportunities to improve planning processes.
About You
We are looking for someone who is organised, confident managing their own workload and comfortable working in a busy, changing operational environment.
You will have:
· Strong organisational and coordination skills, with the ability to manage competing priorities.
· Confident communication skills when dealing with customers, engineers, subcontractors and internal teams.
· A proactive approach to managing schedules, identifying gaps and making effective use of available resources.
· Good problem-solving skills and the ability to make practical decisions when plans change.
· Strong attention to detail and the ability to maintain accurate records across multiple systems.
· Experience in operational planning, scheduling, logistics or field service coordination would be beneficial.
