POSITION OVERVIEW:

San Francisco CASA is seeking an experienced and strategic Internal Communications Specialist for a temporary, 12-month role focused on strengthening how information is shared, understood, and communicated across the organization.

Reporting to the Executive Director, the Internal Communications Specialist will provide both strategic leadership and hands-on execution to assess SFCASA's current internal communications practices, develop a cohesive internal communications strategy, and build sustainable systems, tools, and practices that can be embedded within the organization beyond the 12-month assignment. At the end of this period, SFCASA will reassess what staffing is needed to sustain internal communications.

The Specialist will partner closely with executive leadership and engage staff, board members, CASA volunteers, and other internal stakeholders to support clear, timely, consistent, and thoughtful communication. This role will also provide communications leadership during periods of organizational change and help ensure complex or sensitive information is communicated effectively and with appropriate care.

POSITION DUTIES & RESPONSIBILITIES:

Internal Communications Strategy & Infrastructure

  • Assess SFCASA's current internal communications channels, practices, workflows, and tools and identify gaps, redundancies, and opportunities for improvement.
  • Assess staff information/communication needs.
  • Develop and implement a comprehensive internal communications strategy aligned with SFCASA's mission, organizational priorities, and culture.
  • Establish clear communication protocols and practices for sharing information across staff, leadership, board members, volunteers, and other internal stakeholders.
  • Evaluate and strengthen existing communications channels, including email, staff meetings, newsletters, intranet or shared digital resources, Sharepoint, and other internal platforms.
  • Develop templates, playbooks, calendars, and other practical tools for recurring organizational communications.
  • Design communications systems and processes that can be maintained by SFCASA staff following completion of the 12-month assignment.

Leadership & Change Communications

  • Serve as a strategic communications advisor to the Executive Director and other members of leadership.
  • Develop and support messaging for organizational announcements, strategic initiatives, key milestones, policy or operational changes, and other organization-wide communications.
  • Support change-management communications by translating complex or sensitive information into clear, thoughtful, and accessible messaging.
  • Provide guidance regarding the timing, audience, format, and delivery of significant internal communications.
  • Draft and edit executive communications, presentations, talking points, staff updates, and other materials as needed.
  • Exercise sound judgment and discretion when handling confidential or sensitive organizational matters.

Employee, Board & Volunteer Engagement

  • Partner with leaders across SFCASA to improve communication flow and information sharing throughout the organization.
  • Develop approaches that promote greater consistency, transparency, connection, and engagement among employees and other internal stakeholders.
  • Ensure communications are accessible and responsive to the needs of diverse audiences, including staff, board members, and CASA volunteers.
  • Create opportunities and mechanisms for stakeholder feedback to help assess communication effectiveness.

Measurement & Sustainability

  • Establish practical measures for evaluating internal communications effectiveness and engagement.
  • Use feedback and available data to continually refine communications strategies and practices.
  • Document communications processes, tools, standards, and recommended practices to support long-term organizational sustainability.
  • Develop recommendations for how internal communications responsibilities should be managed following completion of the temporary assignment.
  • Provide appropriate training, knowledge transfer, and resources to staff who will assume ongoing communications responsibilities.

QUALIFICATIONS & REQUIREMENTS:

  • Minimum of 8 years of progressively responsible experience in internal, corporate, organizational, or strategic communications, including at least 3 years at a senior leadership or director level.
  • Demonstrated ability to develop and execute communications strategies within a nonprofit, mission-driven, public-service, or similarly complex organization.
  • Experience advising executive leadership and developing communications regarding organizational change, sensitive issues, or significant initiatives.
  • Exceptional written, verbal, editing, and interpersonal communication skills, with the ability to adjust tone and messaging for different audiences.
  • Demonstrated experience assessing existing communications practices and developing scalable systems, processes, templates, or tools.
  • Strong project-management skills and demonstrated ability to independently manage multiple priorities and workstreams.
  • Ability to exercise discretion and sound judgment when handling sensitive and confidential information.
  • Strong relationship-building and collaboration skills, including the ability to work effectively with staff and stakeholders across different functions and levels of an organization.
  • Comfort working in a lean, resource-conscious nonprofit environment requiring flexibility and hands-on execution.
  • Proficiency with digital communications and collaboration platforms and an ability to quickly learn new systems and tools.
  • Bachelor's degree in communications, public relations, journalism, organizational development, marketing, or a related field preferred; equivalent relevant professional experience will also be considered.
  • Experience with volunteer-led or community-based organizations is preferred.
  • Experience in change management or organizational development is strongly preferred.
  • Demonstrated understanding of equity, inclusion, accessibility, and culturally responsive communications practices.
