Inventory & Materials Coordinator

Position Summary

The Inventory & Materials Coordinator is responsible for maintaining accurate inventory across multiple warehouse locations and ensuring production has the correct components available when needed. This position will perform regular cycle counts, maintain accurate inventory records in SAP, verify pallet identification and labeling, and work closely with Production, Warehouse, and Shipping/Receiving teams to keep materials moving efficiently.

This is a fast-paced, hands-on position in a manufacturing and warehouse environment where priorities can change quickly. The ideal candidate is highly organized, detail-oriented, comfortable working independently, and able to keep track of a large number of components and inventory locations without losing focus.

Key Responsibilities

Inventory Control

  • Perform scheduled and unscheduled cycle counts across multiple warehouse locations.
  • Investigate and resolve inventory discrepancies between physical inventory and SAP.
  • Maintain accurate inventory quantities and locations within SAP.
  • Identify inventory that is missing, misplaced, damaged, or incorrectly recorded.
  • Research inventory discrepancies and communicate findings to appropriate departments.
  • Monitor inventory levels and identify potential shortages before they impact production.
  • Assist with physical inventory counts and inventory audits.
  • Maintain accurate records of inventory movements between warehouse locations.

SAP & Inventory Transactions

  • Use SAP to research inventory, material numbers, quantities, storage locations, and inventory movements.
  • Enter and/or verify inventory transactions as required.
  • Confirm that physical inventory matches SAP records.
  • Research discrepancies and follow the appropriate process for corrections.
  • Become familiar with a large number of SKUs, components, packaging materials, and finished products.
  • Maintain accurate information while working with multiple materials and warehouse locations.

Production Support

  • Work closely with Production to ensure required components are available and located in the correct warehouse.
  • Monitor upcoming production needs and help identify components that need to be moved or replenished.
  • Coordinate the movement of materials between warehouses when necessary.
  • Respond quickly to production requests and changing priorities.
  • Communicate shortages, discrepancies, or material concerns to Production and Management.
  • Help prevent production delays caused by missing or incorrectly located components.
  • Verify that the correct materials are being supplied to production.

Pallet & Label Control

  • Verify that pallets are properly labeled and identifiable.
  • Ensure labels contain the correct product information, SKU/part number, quantity, lot/batch information, and other required information.
  • Identify and correct missing, damaged, or incorrect labels.
  • Work with Warehouse and Production personnel to correct labeling issues.
  • Ensure materials are stored in the appropriate location and can be easily identified and located.

Warehouse Coordination

  • Regularly travel between multiple warehouse areas to verify inventory and material locations.
  • Maintain organization and visibility of components throughout the warehouse.
  • Help identify misplaced or incorrectly stored materials.
  • Communicate inventory and warehouse issues to the appropriate personnel.
  • Work closely with Shipping, Receiving, Production, and Warehouse personnel.
  • Assist with maintaining accurate warehouse locations and inventory organization.

Work Environment

This position works in a high-volume, fast-paced manufacturing and warehouse environment. The inventory coordinator may be responsible for tracking a large number of components across multiple warehouse locations while responding to changing production needs.

The environment can be busy and somewhat chaotic, with priorities changing throughout the day. The successful candidate must be able to stay organized, shift priorities quickly, and continue accurately completing inventory-related tasks when interruptions occur.

This position requires a person who is comfortable being hands-on and out on the warehouse floor, rather than remaining at a desk throughout the day.

Qualifications

Required

  • High school diploma or equivalent.
  • Previous experience in inventory control, warehouse operations, materials management, manufacturing, or a related field.
  • Strong attention to detail and organizational skills.
  • Ability to work with large amounts of inventory information.
  • Basic computer skills.
  • Ability to learn and effectively use SAP or similar inventory management software.
  • Ability to communicate effectively with Production, Warehouse, Shipping/Receiving, and Management.
  • Ability to work independently and prioritize tasks.
  • Ability to work in a fast-paced environment where priorities may change frequently.

Preferred

  • Previous SAP experience.
  • Previous cycle-counting or inventory-control experience.
  • Manufacturing or chemical-industry experience.
  • Experience working with multiple warehouse locations.
  • Forklift experience or forklift certification.
  • Experience identifying and correcting inventory discrepancies.
  • Experience with pallet labeling and material identification.

Skills & Attributes

The ideal candidate will be:

  • Highly organized – able to keep track of many components, locations, and priorities.
  • Detail-oriented – understands that small inventory or labeling errors can create significant production problems.
  • Proactive – identifies potential shortages and inventory problems before they become production issues.
  • Adaptable – can quickly change priorities when production or warehouse needs change.
  • Problem-solving oriented – willing to investigate discrepancies rather than simply reporting them.
  • Computer and system capable – comfortable working in SAP and learning new processes.
  • Strong communicator – communicates clearly with Production, Warehouse, Shipping/Receiving, and Management.
  • Reliable and accountable – understands the importance of accurate inventory information.
  • Comfortable on the warehouse floor – willing to move between warehouse locations throughout the day.
  • Able to handle pressure – maintains accuracy and organization even when the workload is high and interruptions are frequent.

Physical Requirements

  • Ability to regularly walk and work throughout warehouse and production areas.
  • Ability to stand and walk for extended periods.
  • Ability to climb stairs and access warehouse storage areas as required.
  • Ability to lift and handle materials within normal warehouse job requirements.
  • Ability to work around forklifts, palletized materials, warehouse equipment, and manufacturing operations.
  • Ability to wear required personal protective equipment (PPE).

Performance Expectations

Success in this position will be measured by the employee's ability to:

  • Maintain accurate inventory across multiple warehouse locations.
  • Complete cycle counts accurately and on schedule.
  • Reduce and resolve inventory discrepancies.
  • Keep SAP inventory information accurate and current.
  • Ensure production has the components needed to meet production schedules.
  • Identify material shortages before they cause production delays.

  • Maintain organization and accuracy in a high-volume, constantly changing environment.
