Inventory Data analyst

GENERAL JOB DEFINITION:

The IAP Data Analyst is a full-time IAPD role responsible for managing the daily exception queue, preparing count waves, maintaining IAPD dashboards, monitoring AppSheet data quality, and performing first-level CCTV/AI alert triage.

This role is needed because GH Max expects around 20–30 temp-negative or false-positive items per day, plus weekly cycle counts of high-value and fast-moving racks.

The role does not replace the company’s Data Analyst Department. The Data Analyst Department may support reports, AppSheet build, and ERP exports, but this IAP role owns the daily operational queue for IAPD.

DUTIES AND RESPONSIBILITIES/ACCOUNTABILITIES:

Daily Exception Queue

• Monitor all temp-negative, false-positive, not-found, short-pick, and discrepancy triggers daily.
• Create or validate exception tickets in AppSheet.
• Assign cases to the appropriate Inventory Accuracy Officer, Fulfillment QA Lead, Asset Protection Officer, or IAP Supervisor.
• Track case aging and closure.
• Flag overdue cases.

Count Preparation

• Prepare weekly count waves for:

  • high-value items,
  • fast-moving racks,
  • UOM-sensitive items,
  • temp-negative items,
  • false-positive/not-found items,
  • repeated discrepancy SKUs,
  • random audit samples.

• Coordinate with Inventory Accuracy Officers on count schedule and count list.

• Ensure count sheets/app queues are ready before count date.

Variance and Recount Support

• Generate variance reports.
• Flag items requiring recount based on peso value, quantity variance, percentage variance, high-value status, UOM sensitivity, repeated discrepancy, and unexpected location.
• Prepare variance summaries for IAP Supervisor review.
• Maintain root-cause dashboards.

AppSheet Data Quality

• Monitor missing barcodes, wrong UOM conversions, duplicate item codes, bad location tags, and incomplete movement logs.
• Coordinate with IT/Data Analysts for system fixes.
• Ensure AppSheet dashboards reflect reliable data.

CCTV / AI Alert Triage

• Review first-level AI CCTV alerts when the system is available.

• Classify alerts as low, medium, high, or critical.

• Notify the correct responder:

  • SA/TL for customer-service approach,
  • Asset Protection Officer for dock/gate/garbage issues,
  • Inventory Accuracy Officer for stockroom/item issues,
  • IAP Supervisor for high/critical events,
  • licensed guard for confrontation/apprehension situations.

• Maintain incident logs and evidence references.

• Avoid accusations; treat AI alerts as leads, not proof.

Reporting

• Prepare weekly IAPD dashboard:

  • open exceptions,
  • closed exceptions,
  • aged cases,
  • temp-negative trend,
  • false-positive trend,
  • count completion,
  • variance value,
  • top root causes,
  • high-risk SKUs,
  • CCTV/AI alert summary,
  • adjustment packet status.

Authority

The IAP Data, Exceptions & Monitoring Analyst may:

• Create and assign exception tickets.
• Prepare count waves.
• Flag recount requirements.
• Notify responders for CCTV/AI alerts.
• Prepare dashboards and reports.
• Escalate overdue or suspicious cases.
