Invoice Clerk

Job Summary
We are seeking a detail-oriented and proactive Invoice Clerk to join our dynamic finance team. In this vital role, you will be responsible for managing the billing and accounts receivable processes, ensuring accuracy and timeliness in invoice preparation, data entry, and client communication. Responsibilities

• Prepare, review, and process invoices using billing software and accounting systems such as QuickBooks, Sage, PeopleSoft, or similar platforms
• Manage accounts receivable by tracking outstanding payments, following up with clients on overdue invoices, and reconciling discrepancies
• Enter data accurately into spreadsheets and accounting software, utilizing Excel formulas for analysis and reporting purposes
• Perform account reconciliation tasks to ensure consistency between billing records and financial statements
• Support collections account management by negotiating payment plans and maintaining positive client relationships
• Assist with accounts payable functions when necessary, ensuring timely vendor payments and accurate record keeping
• Maintain compliance with financial regulations such as SOX (Sarbanes-Oxley Act) and GAAP (Generally Accepted Accounting Principles)

Qualifications

• Proven experience in accounting or finance roles with a focus on billing, accounts receivable, or related functions
• Strong knowledge of accounting software including QuickBooks, Sage, PeopleSoft, or similar systems; experience with medical billing or governmental accounting is a plus
• Familiarity with financial concepts such as debits & credits, journal entries, double entry bookkeeping, and revenue cycle management
• Proficiency in Excel data analysis, spreadsheets creation, formulas development, and account analysis
• Excellent attention to detail with strong data entry skills (including 10 key typing) and organizational abilities
• Effective communication skills for client interaction and negotiation; professional phone etiquette is essential
• Knowledge of medical terminology, CPT coding (Current Procedural Terminology), ICD-10 coding standards for healthcare billing is advantageous
• Ability to adhere to strict deadlines while managing multiple priorities in a fast-paced environment
• Understanding of internal controls related to SOX compliance and experience working within public accounting or corporate finance environments

Pay: $30.76 - $35.82 per hour

Expected hours: 10.0 – 50.0 per week
