IT Procurement Specialist Hardware & Software

Job Summary

We are seeking an experienced IT Procurement Specialist to manage the sourcing, purchasing, vendor management, and lifecycle administration of IT hardware and software.

The successful candidate will work closely with IT, Finance, and business stakeholders to ensure the organization obtains quality technology products and services at competitive prices, while maintaining compliance with procurement policies and approved budgets.

Key Responsibilities

IT Hardware Procurement

• Source and procure laptops, desktops, monitors, printers, servers, storage, networking equipment, UPS systems, mobile devices, and IT accessories.
• Obtain and evaluate quotations from local and international suppliers.
• Negotiate pricing, payment terms, warranties, delivery schedules, and service agreements.
• Verify product specifications, authenticity, warranty coverage, and OEM authorization.
• Coordinate delivery, inspection, asset tagging, and handover to IT.

Software & Licensing Procurement

• Procure software licenses, subscriptions, SaaS solutions, cloud services, cybersecurity products, and enterprise applications.
• Manage Microsoft 365, Windows, Adobe, antivirus/EDR, backup, ERP, CRM, and other software licensing requirements.
• Track license quantities, renewal dates, subscriptions, and usage.
• Ensure software purchases comply with licensing and legal requirements.
• Identify opportunities to consolidate licenses and reduce unnecessary expenditure.

Vendor & Supplier Management

• Identify, evaluate, onboard, and maintain relationships with reliable IT suppliers.
• Maintain an approved supplier/vendor database.
• Monitor supplier performance, pricing, delivery, quality, and after-sales support.
• Resolve procurement, delivery, warranty, and supplier-related issues.
• Conduct periodic supplier reviews and market-price benchmarking.

Procurement Operations

• Prepare RFQs, RFPs, purchase requisitions, purchase orders, bid comparisons, and procurement reports.
• Ensure purchases follow company procurement policies and approval procedures.
• Coordinate with Finance on budgets, invoices, payments, and reconciliations.
• Maintain accurate procurement records and documentation.
• Support annual IT budgeting and forecasting.
• Monitor procurement lead times and ensure timely delivery of technology requirements.

IT Asset & Lifecycle Management

• Maintain records of IT assets and software licenses.
• Support hardware refresh and replacement planning.
• Track warranties, maintenance contracts, leases, and support agreements.
• Assist with disposal, replacement, and end-of-life processes.
