Junior Executive (Export)

Role & responsibilities

1. Export Documentation & Compliance

• Prepare post-shipment documents after receipt of Bill of Lading (B/L).
• Ensure document submission to banks for LC shipments as per LC terms and conditions.
• Maintain a proper record of advance and final balance payments.
• Obtain and process Phytosanitary Certificates as required.

2. Customer & Bank Coordination

• Scan and send shipping documents to customers.
• Prepare original shipping documents for direct customer couriers and bank submissions.
• Obtain third-party payment letters from customers when necessary.
• Handle surrender of B/L upon customer request.

3. Regulatory & Insurance Formalities

• Prepare ECGC declarations and calculate premiums for specific countries.
• Maintain an account of ECGC premiums and submit declarations to ECGC.
• Compile and submit export data for marine insurance purposes.
• Coordinate with insurance agencies to obtain necessary certificates for CIF shipments.

4. Record Management & Reporting

• Maintain an export courier register and a filing system for export documents.
• File Kotak Bank covering schedules along with shipping documents.
• Prepare export outstanding reports after month-end.

5. Support & Additional Responsibilities

• Issue merchant export proforma invoices.
• Prepare and maintain commission contracts and process commission payments.
• Take over the responsibilities of absent colleagues when required.
• Perform tasks assigned by the reporting manager or other authorities.
