What they need

Remote | Full-Time | Australian Financial Planning | Day Shift

Contractor Rate: ₱350/hour for billable client work

BE SmartAdmin Services Pty Ltd (BESAS) is looking for a Junior Financial Planning Administrator to join our remote team in the Philippines and support an Australian financial planning business.

This is a great opportunity for an experienced administrator who wants to develop a career in Australian financial planning and financial services. Previous Australian financial planning experience is an advantage, but not essential. Training and guidance will be provided.

About the Role

Your contractor engagement will be directly with BE SmartAdmin Services Pty Ltd (BESAS), and you will be assigned to support BE Wealth, an Australian financial planning business within the broader BE group.

You will work closely with financial planning administrators and advisers, supporting day-to-day administration such as application preparation, client documentation, insurance renewals, record updates, and follow-ups.

We are looking for someone who is organised, accurate, dependable, and eager to learn. You should be comfortable following structured processes, managing multiple tasks, taking ownership of follow-ups, and asking questions or escalating when something is unclear.

Key Responsibilities

  • Prepare application forms and routine financial planning documentation
  • Update and maintain accurate client information and records
  • Gather, check, organise, and file supporting documents
  • Identify missing or inconsistent information and follow up as required
  • Assist with insurance renewal administration and documentation
  • Support SMSF document gathering and audit administration
  • Maintain client information across CRM and financial planning systems
  • Keep task statuses, notes, and outstanding items up to date
  • Organise documents correctly in SharePoint
  • Follow SOPs, checklists, templates, and quality-control processes
  • Provide clear status updates and escalate unusual, sensitive, or compliance-related matters

What We're Looking For

Essential:

  • Previous experience in administration, operations, back-office support, financial services support, or a similar role
  • Strong attention to detail and accuracy
  • Excellent organisation and time-management skills
  • Experience handling documents, records, and confidential information
  • Ability to follow structured processes, checklists, and written instructions
  • Professional written and spoken English
  • Ability to manage multiple tasks and follow-ups
  • Strong willingness to learn and apply feedback
  • Proactive, dependable, and comfortable taking ownership of routine responsibilities

Preferred but not essential:

  • Australian financial planning administration experience
  • Experience as a Financial Planning Assistant, Financial Planning Administrator, or financial services administrator
  • Experience supporting financial advisers or paraplanners
  • Exposure to insurance applications, policy administration, or renewals
  • Familiarity with Australian superannuation or SMSFs
  • Awareness of KYC or AML requirements
  • Previous financial services experience

Systems & Technical Skills

You should be comfortable using:

  • Microsoft Outlook, Word, Excel, and Teams
  • SharePoint or similar document-management systems
  • PDF editing tools
  • CRM or task-management systems

Training can be provided for FIN365 Dynamics (CRM), insurance provider portals, superannuation and investment platforms, and our internal financial planning processes and templates.

Home Office Requirements

As this is a remote/work-from-home position, you must have:

  • Reliable internet connection with a minimum speed of 15 Mbps
  • Stable power supply
  • Computer/laptop with at least 16GB RAM
  • Dual-monitor setup
  • Quiet and professional home working environment

Working Hours

  • Full-time, Monday to Friday
  • 8:00 AM–5:00 PM Philippine/Manila time
  • 8 working hours per day
  • Day-shift schedule aligned with Australian business hours
  • Clockify is used for time and task recording

Compensation & Engagement

  • ₱350/hour premium contractor rate for billable client work
  • ₱175/hour base contractor rate for approved non-billable BESAS activities
  • Full-time, long-term independent contractor engagement
  • Opportunities for rate progression based on performance and company approval

At the ₱350/hour premium rate, a fully billable 40-hour workweek is equivalent to approximately ₱60,667 per average month, before any applicable non-billable hours.

What Success Looks Like

Within approximately 3–6 months, you should be able to independently manage routine application preparation, document collection, system updates, and follow-ups while producing accurate work, meeting agreed timelines, and appropriately escalating complex or sensitive matters.

At BESAS, we value people who are professional, dependable, collaborative, and committed to working with integrity.
