Junior Invoicing Specialist

Responsibilities

• Prepare, review, and process invoices using various billing software platforms, ensuring accuracy and completeness.
• Manage accounts receivable by tracking outstanding payments, following up on overdue invoices, and reconciling discrepancies.
• Enter data meticulously into accounting systems such as QuickBooks, Sage, PeopleSoft, or similar platforms, maintaining high levels of accuracy through Excel data analysis and spreadsheet management.
• Assist with account reconciliation tasks, including debits & credits, journal entries, and double-entry bookkeeping procedures aligned with GAAP (Generally Accepted Accounting Principles).
• Support collections account management efforts by communicating professionally with clients via phone or email to resolve billing issues and improve cash flow.
• Maintain detailed records of billing activities, perform analysis using Excel formulas, and generate reports to support financial decision-making.
• Collaborate with the accounts payable team to ensure seamless processing of payments and adherence to SOX (Sarbanes-Oxley) compliance standards.

Requirements

• Previous experience in accounting or finance roles involving data entry, accounts receivable/payable management, or collections account management.
• Proficiency in financial software such as QuickBooks, Sage, PeopleSoft, or similar systems; experience with billing software is highly desirable.
• Strong understanding of GAAP principles and technical accounting concepts including journal entries and account reconciliation.
• Excellent Excel skills including formulas, spreadsheets creation, and data analysis techniques; familiarity with Excel data analysis tools is a plus.
• Ability to perform detailed analysis using spreadsheets and accounting systems while maintaining high accuracy through 10 key typing skills.
• Effective communication skills for client interaction via phone etiquette and customer service excellence.
• Knowledge of governmental accounting practices or public accounting experience is advantageous but not required.
• Demonstrated organizational skills with the ability to handle multiple tasks efficiently in a fast-paced environment.

Pay: $19.00 - $25.00 per hour
