Job Summary

Responsible for supporting and managing the procurement process for plantation operations and corporate requirements, including sourcing, quotation comparison, purchase order processing, supplier coordination, and delivery follow-up.

The role will work closely with plantation operations, finance, warehouse, and other internal departments to ensure materials and services are procured on time, at competitive prices, and in accordance with company requirements and procurement procedures.

Key Responsibilities

• Manage the end-to-end procurement process, from purchase requisitions and supplier sourcing to purchase order issuance and delivery coordination.
• Identify, source, and evaluate suppliers based on pricing, product quality, availability, lead time, and reliability to ensure value for money.
• Liaise with suppliers to negotiate competitive pricing, payment terms, delivery schedules, and other commercial arrangements.
• Prepare and process purchase orders, quotations, and procurement-related documents in accordance with company procedures.
• Work closely with plantation sites and internal departments to understand purchasing requirements, verify specifications, and ensure timely delivery of goods and materials.
• Maintain accurate and up-to-date procurement records, supplier databases, pricing information, and purchasing documentation.
• Monitor supplier performance and follow up on issues involving delivery delays, product quality, pricing discrepancies, and non-compliance.
• Support supplier evaluation and development by identifying new suppliers and alternative sourcing options to enhance cost efficiency and supply continuity.
• Coordinate with Finance and relevant departments on invoice verification, payment documentation, and timely processing of supplier invoices.
• Analyse purchasing trends and expenditure to identify cost-saving opportunities, improve procurement efficiency, and support continuous process improvement.

Key Requirements

• Diploma or Bachelor’s Degree in Procurement, Supply Chain Management, Business Administration, Logistics, or a related discipline.
• Strong attention to detail with the ability to manage multiple purchasing requests and meet deadlines effectively.
• Proficient in Microsoft Office, particularly Microsoft Excel, for procurement documentation and data management.
• Proactive, organised, and willing to learn, with a strong interest in developing a career in procurement within the plantation industry.
• Willing to travel to plantation sites to support procurement activities and coordinate with on-site teams as required.
