What they need

Description

The Junior Titling Specialist helps make sure every titled deal ends with 360 correctly on the title. Working under our Titling Manager, this role prepares title packages, tracks outstanding titles, and follows up with customers, vendors and state agencies until each one is perfected.

360 is an independent, small-ticket equipment lessor in Austin. We hold title on the work trucks, trailers and other equipment we lease to small businesses nationwide, so this role handles titles from many states. The seat is in the office because much of the work is physical: original titles and MCOs arrive by mail, packages ship overnight, and some items need a county tax office visit or a notary stamp. If you’ve worked titles at a dealership, tag agency or lender, you already know half the job. We’ll train you on the rest.

Key Responsibilities

Title Processing

  • Prepare title applications, power of attorney forms and title packages using 360’s state-by-state title guide
  • Check leases, invoices, MCOs and existing titles so the VIN, owner and lienholder details match before anything is submitted
  • Send each title down the right path: prepared by 360 and sent to the state, handled by a third-party title service, or packaged for the customer to take to their DMV
  • Verify perfected titles for accuracy when they come back from the state, confirming 360 is shown correctly and the VIN and details match our records
  • Help prepare title fee and tax amounts for the Titling Manager’s review
  • Process title releases and assignments at lease end or payoff, as directed by the Titling Manager
  • Report state form and rule changes so our title guide stays accurate

Tracking and Follow-Up

  • Keep every outstanding title current in Salesforce, with a status, next step and follow-up date
  • Follow up by phone and email with customers, vendors and state agencies on missing or rejected titles
  • Flag titles that are running past our deadlines to the Titling Manager early
  • Help clear title-related conditions so deals can fund and broker commissions can be released

In-Office Handling

  • Pick up mail from the office mailbox daily, and log all incoming mail with a tracking number
  • Scan original titles, MCOs and state mail the day it arrives, and store originals securely
  • Ship title packages by overnight carrier and track each one to delivery
  • Make county tax office runs as needed, and notarize title documents once commissioned

Cross-Training

  • Back up our Funding Coordinator on GPS device send-outs and insurance tracking

Qualifications

Required

  • Able to work in our Austin office full time, Monday through Friday
  • Sharp attention to detail: you catch one wrong digit in a VIN or a name that doesn’t match
  • Organized enough to track dozens of open items, each with its own deadline
  • Clear communicator, comfortable making follow-up calls to customers, vendors and government offices
  • Discretion with sensitive customer and financial documents
  • Working knowledge of Microsoft Office, especially Excel
  • Willing to become a Texas notary within 90 days of hire, with 360 covering the cost

Preferred

  • 6 to 12 months of equipment finance experience, or title and registration experience at a dealership, tag agency or lender
  • Experience with out-of-state titles or titling in more than one state
  • Familiarity with MCOs, lien releases and title transfers
  • Active Texas notary commission
  • Experience with Salesforce or a similar CRM, and DocuSign

What Success Looks Like

  • All tracked mail, original titles and MCOs are logged the day they arrive, and none go missing
  • Perfected titles are checked before they're filed, so errors get caught and fixed early
  • Title packages go out complete and correct the first time, with few state rejections
  • Every outstanding title in Salesforce shows a current status and next step, and aging titles get flagged early
  • The Titling Manager can hand off routine title work and trust it gets done
  • GPS send-outs and insurance tracking stay covered when the Funding Coordinator is out
