What they need
AAA Landscape is seeking a Landscape Construction Project Coordinator to support our commercial construction projects and field operations. This position serves as a key connection between Project Managers, Superintendents, Foremen, General Contractors, subcontractors, vendors, and Accounting.
The Project Coordinator helps keep projects organized, documented, compliant, and on schedule while providing critical administrative support to our field teams.
WHY JOIN AAA LANDSCAPE?
AAA Landscape has been building and maintaining Arizona landscapes for more than 50 years and has grown into one of Arizona's established commercial landscape contractors.
Our Construction Division works alongside leading General Contractors on large and complex commercial projects throughout Arizona. This position provides hands-on exposure to the entire construction process and an opportunity to grow into greater project management responsibilities.
We value people who take ownership, solve problems, support the field, and look for better ways to get the job done.
WHAT YOU’LL DO
- Provide day-to-day project coordination and documentation support to Project Managers, Superintendents, and Foremen.
- Assist field teams with General Contractor documentation requirements, including daily reports, safety documentation, work plans, permits, inspections, manpower reports, photographs, and other required project records.
- Work within GC project-management systems such as Procore, HammerTech, and other client-required platforms.
- Prepare, submit, and track Requests for Information (RFIs).
- Coordinate and track project submittals, product data, samples, shop drawings, and approvals.
- Maintain current plans, specifications, addenda, approved submittals, project contacts, and other construction documents.
- Prepare project startup and pre-construction information for field leadership.
- Coordinate Blue Stake/811 requests and required documentation.
- Assist with change orders and extra work by collecting and maintaining supporting labor, material, equipment, subcontractor, photographic, and field documentation.
- Track Time & Material (T&M) work and ensure supporting documentation is complete and submitted timely.
- Prepare and track change-order requests and coordinate approved changes with Project Management and Accounting.
- Assist with Schedules of Values, contracts, purchase orders, billing documentation, and other project financial records.
- Coordinate subcontractor and vendor documentation, including agreements, insurance requirements, submittals, and project information.
- Assist with project schedules, procurement deadlines, milestones, and outstanding action items.
- Monitor project documentation requirements and deadlines and proactively follow up on outstanding items.
- Assist with project closeout, including as-builts, warranties, O&M documentation, punch-list items, and final GC requirements.
- Maintain complete and organized electronic project files and correspondence.
QUALIFICATIONS
- Two or more years of construction project coordination, project engineering, project administration, estimating, or related construction experience preferred.
- Commercial construction experience strongly preferred.
- Landscape and/or irrigation construction experience is a plus.
- Ability to read and understand construction plans, specifications, details, and related project documents.
- Experience working with General Contractors and commercial construction documentation preferred.
- Experience with Procore, HammerTech, or similar construction project-management software preferred.
- Strong Microsoft Excel, Word, Outlook, and general computer skills.
- Strong written and verbal communication skills.
- Excellent organization, follow-through, and attention to detail.
- Ability to manage multiple projects, priorities, and deadlines simultaneously.
- Ability to work independently and proactively identify missing information, approaching deadlines, and documentation requirements.
- Comfortable working directly with both office and field personnel and visiting active construction sites as needed.
- Valid Arizona driver's license and acceptable driving record.
WHAT SUCCESS LOOKS LIKE
The successful Project Coordinator stays ahead of project requirements, follows assignments through completion, and makes sure our field teams have the information and support they need.
You understand that accurate and timely documentation protects the project, supports billing and change-order recovery, and allows our Superintendents and Foremen to spend more time managing safety, quality, people, and production.
