About the role

The Legal Receptionist is responsible for the day-to-day running of reception and providing administrative support to the team. Key responsibilities

  • Welcoming clients and visitors and managing the front desk experience
  • Acting as a "concierge" for the firm—being hospitable to staff and clients and assisting with practical needs as they arise
  • Maintaining the polished presentation of the reception area, meeting rooms and client-facing spaces (including ensuring spaces are tidy and prepared for appointments)
  • Answering and triaging inbound calls professionally and efficiently via VoIP phone system VXT
  • Managing client bookings, including scheduling appointments and coordinating meeting rooms for two office locations
  • Managing the lawyers' diaries, including diary maintenance and appointment coordination for two office locations
  • Managing incoming and outgoing email and correspondence
  • Creating, opening and maintaining files and documents within Smokeball
  • Producing and formatting documents and correspondence
  • Printing, scanning, copying, collating and preparing documents for meetings and appointments
  • Organising catering and beverages and attending to general office management tasks
  • Supporting the Practice Manager in the overall smooth operation of the firm

About you

  • A calm, professional demeanour and strong people skills, including with clients who may be experiencing high stress

  • A naturally welcoming, hospitable manner and pride in delivering a high-quality client experience

  • Previous law firm experience (highly regarded)

  • Confidence using practice management and telephony systems (Smokeball and VXT advantageous)

  • Experience with accounts payable and invoicing (advantageous)

  • Strong written and verbal communication skills

  • Sound time management and the ability to prioritise competing tasks

  • A professional and discreet approach to confidential information

  • Strong computer skills (Microsoft Office)

  • Ability to promote the firm and convert client enquiries (leads) to paid consults

Important eligibility requirements:

  • This is a full-time (9am-5pm) on site role with no provision for work from home
  • No law students to apply.
