What they need
About Us
We are a fast-paced, client-focused personal injury law firm dedicated to helping injured individuals through every stage of their case. We are seeking a detail-oriented Lien Specialist who can manage lien and reimbursement claims while working closely with attorneys, case managers, settlement staff, medical providers, health plans, and government programs.
Position Overview
The Lien Specialist is responsible for managing liens and reimbursement claims for personal injury cases from initial setup through final payment and closure. This role requires strong organization, consistent follow-through, accurate recordkeeping, and professional communication to help prevent delays in settlement distributions.
Key Responsibilities
- Open and maintain lien information in SmartAdvocate, including lienholder details, claim numbers, balances, status updates, and follow-up dates
- Review case information to identify potential Medicare, Medi-Cal or Medicaid, health insurance, ERISA, workers’ compensation, medical provider, hospital, attorney, and other lien interests
- Send notices of representation, authorizations, and supporting information required to establish lien claims
- Request and follow up on itemized statements, current balances, payoff letters, conditional payment information, and final demands
- Review lien balances for duplicate charges, unrelated treatment, incorrect dates, prior payments, credits, and other discrepancies
- Maintain accurate lien notes, documents, deadlines, and follow-up tasks in the case management system
- Prepare lien-reduction requests and assist with negotiating reductions under the direction and authority of the supervising attorney
- Communicate professionally with lienholders, recovery vendors, clients, attorneys, case managers, medical providers, and settlement staff
- Provide verified final lien balances for settlement accounting and promptly report disputed or pending amounts
- Coordinate lien payments and obtain written releases or zero-balance confirmations
- Confirm that payment and supporting documentation are complete before closing lien-related tasks
- Escalate disputed, excessive, time-sensitive, or legally complex lien matters to the supervising attorney
- Protect confidential medical, financial, client, and case information
Qualifications
- Prior experience in personal injury, lien resolution, legal settlements, medical billing, health-plan recovery, or a related field preferred but not required
- Familiarity with medical liens, health insurance payments, payoff requests, or the personal injury settlement process preferred but not required
- Experience with SmartAdvocate or similar case management software preferred but not required
- Strong organizational and time-management skills
- Excellent attention to detail and follow-through
- Clear and professional written and verbal communication skills
- Ability to manage multiple cases, follow-up items, and deadlines simultaneously
- Ability to review billing records, reconcile balances, perform basic calculations, and identify discrepancies
- Comfortable using email, spreadsheets, PDF documents, case management software, and online recovery portals
- Ability to work independently, maintain confidentiality, and recognize when attorney review is required
Preferred
- Experience handling medical liens, health-plan reimbursement claims, or personal injury settlements
- Experience communicating with medical providers, insurance carriers, government recovery programs, or lien-resolution vendors
