Litigation Assistant / Scheduling Coordinator (Bilingual English/Spanish)
Orlan Injury Law, PLLC | Coral Springs, FL
Schedule: Monday–Friday, 9:00 a.m. to 5:00 p.m.
Hybrid: Four days in office, one day remote
About Us
Orlan Injury Law is a plaintiff-side personal injury law firm representing injured people and their families throughout Florida. We handle car accidents, premises liability, slip-and-falls, wrongful death, and other personal injury cases.
We are a small, family-run firm, not a corporate office. Our team is close, our standards are high, and we believe in treating our employees and clients with loyalty and respect. We take pride in the work we do and the relationships we build.
About the Role
We are looking for a highly organized, detail-oriented Litigation Assistant / Scheduling Coordinator to join our growing team.
This position combines litigation scheduling, calendar management, administrative support, and bilingual client communication. You will work closely with our attorneys and paralegals to keep cases organized, deadlines tracked, and litigation moving forward.
A significant part of your role will involve coordinating depositions, hearings, mediations, medical examinations, and other litigation events. You will also assist with preparing routine legal documents, managing case files, communicating with clients and opposing counsel, and handling other day-to-day litigation tasks.
We are looking for someone who takes initiative, follows through on assignments, and can stay organized while managing multiple priorities. You should be comfortable working independently, asking questions when necessary, and taking ownership of your responsibilities.
This is a hybrid position with four days per week in our Coral Springs office and one remote day. Hours are 9:00 a.m. to 5:00 p.m., Monday through Friday.
What You'll Do
Litigation Scheduling & Calendar Management
- Schedule and coordinate depositions, mediations, hearings, case management conferences, Compulsory Medical Exams (CMEs), and other litigation proceedings.
- Communicate with opposing counsel, judicial assistants, court reporters, interpreters, expert witnesses, medical providers, and other parties to coordinate scheduling.
- Maintain accurate litigation calendars for multiple attorneys, including hearings, deadlines, appointments, and other important dates.
- Calendar and track court-ordered deadlines, discovery deadlines, response dates, and other critical litigation dates, flagging any questions or discrepancies for attorney review.
- Monitor pending scheduling requests, follow up on outstanding confirmations, and proactively identify potential calendar conflicts.
- Coordinate court reporters, videographers, interpreters, and Zoom appearances as necessary.
- Review upcoming calendars to ensure that appearances are confirmed, clients are notified, and necessary arrangements have been made.
Litigation & Administrative Support
- Prepare notices of deposition, notices of hearing, routine legal correspondence, and other litigation documents for attorney review.
- Assist with electronic filing and service of court documents.
- Organize and maintain electronic case files, including pleadings, discovery, correspondence, and medical records.
- Assist attorneys and paralegals with tracking outstanding discovery, records requests, and other litigation-related follow-ups.
- Coordinate with expert witnesses, medical providers, and vendors regarding scheduling, records, and other administrative matters.
- Monitor incoming court orders and litigation correspondence to identify scheduling changes and matters requiring attention.
- Assist with other litigation and administrative projects as assigned.
Client Communication & General Office Support
- Communicate with clients in English and Spanish regarding scheduled appearances, appointments, and case-related matters.
- Confirm client attendance at depositions, medical examinations, hearings, and other proceedings, and coordinate preparation appointments with attorneys.
- Assist with Spanish-language client calls, routine translation, and communication with medical providers.
- Answer incoming telephone calls and assist with client inquiries as needed.
- Help ensure clients receive timely, professional, and courteous communication.
- Work collaboratively with the team to keep the office organized and running efficiently.
What We're Looking For
- Fluency in English and Spanish, both written and spoken, is required.
- At least two years of experience working in a law office, preferably in personal injury or civil litigation.
- Experience with litigation scheduling, legal calendaring, and coordinating depositions or hearings is strongly preferred.
- Familiarity with Florida court procedures, litigation deadlines, and electronic filing systems.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple assignments, deadlines, and competing priorities in a busy law office.
- Strong follow-through and the initiative to identify and address outstanding tasks without constant reminders.
- Excellent written and verbal communication skills.
- Professional, patient, and compassionate approach when interacting with clients.
- Proficiency with Microsoft Office, Outlook, and legal case management software.
- Ability to handle confidential client and medical information with discretion.
- Dependable, accountable, and comfortable working both independently and as part of a small team.
- High school diploma or equivalent required. Additional legal education or a paralegal certificate is a plus.
Why Join Us
- A family-run firm, not a corporate culture. You'll be part of a small, close-knit team where people know each other, work together, and support one another.
- Your work matters and gets noticed. You'll play an important role in the firm's daily operations, and your contributions will make a real difference.
- Work-life balance. Enjoy a consistent Monday-through-Friday schedule, one remote workday per week, and no regularly scheduled nights or weekends.
- Opportunity to grow. As our firm continues to expand, there will be opportunities to take on additional responsibilities and develop your skills.
- Meaningful work. You'll help injured people and their families navigate difficult situations and move their cases toward resolution.
