This position is ideal for a polished, highly organized legal professional with 5+ years of litigation support experience who is comfortable managing a demanding workload, handling confidential information, and working with attorneys in a deadline-driven environment. The ideal candidate will have strong knowledge of litigation procedures, excellent attention to detail, and proficiency with iManage and other legal technology.

Key Responsibilities

  • Provide comprehensive administrative and legal support to attorneys managing a substantial litigation caseload.
  • Monitor important litigation deadlines, court dates, filings, and other time-sensitive matters.
  • Prepare, revise, format, and proofread litigation-related documents, including pleadings, motions, subpoenas, complaints, summonses, and correspondence.
  • Assist with electronic filing and service of documents in state and federal courts.
  • Create and maintain organized electronic case files, ensuring pleadings, discovery, correspondence, and other matter-related documents are properly maintained.
  • Manage attorney calendars by coordinating depositions, hearings, meetings, travel, conferences, and other litigation-related commitments.
  • Assist attorneys with preparation for hearings, meetings, depositions, and trial-related activities.
  • Open and organize new matters while completing associated administrative requirements.
  • Coordinate with clients, vendors, attorneys, and internal departments to facilitate the efficient handling of matters.
  • Track attorney expenses, reimbursements, check requests, and related documentation.
  • Assist with monthly client billing, including entering and reviewing attorney time and addressing billing-related matters.
  • Enter attorney billable and non-billable time accurately and on a timely basis.
  • Use legal document management and productivity systems to maintain accurate and accessible case information.
  • Identify potential issues, anticipate attorney needs, and independently follow through on solutions in a fast-paced environment.

Qualifications

  • 5+ years of legal assistant experience, preferably supporting business or commercial litigation attorneys.
  • Strong understanding of civil litigation procedures and electronic filing requirements for Texas state and federal courts.
  • Experience with appellate matters is a plus but not required.
  • Proficiency with iManage is required.
  • Advanced working knowledge of Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Familiarity with litigation support tools and creating tables of authorities is preferred.
  • Strong proofreading, grammar, spelling, and document-formatting skills.

  • Highly professional and polished communication style, both written and verbal.
  • Self-directed approach with the ability to anticipate needs, resolve issues, and work effectively without extensive supervision.
  • Strong typing skills, with the ability to accurately type approximately 80+ words per minute.
  • Comfortable handling confidential and sensitive legal information.
  • Ability to work occasional overtime, including early mornings, evenings, or weekends, when business needs require.
  • Dependable attendance and punctuality are essential.
  • Ability to work effectively in a professional office environment and meet the physical requirements associated with the position.
