What they need

At Roberts Disability Law, P.C., we believe justice should never depend on power or privilege. Our mission is to hold powerful institutions accountable and ensure fairness for those who cannot fight alone, and every member of our team plays a vital role in that pursuit. We are a Bay Area law firm that helps clients with private disability and life insurance claims governed by ERISA, from pre-litigation appeals through federal court litigation. We are looking for a reliable, detail-oriented paralegal who takes pride in helping people reclaim stability and dignity when serious illness or injury disrupts their security.

We are seeking a full-time Litigation & Appeals Paralegal to join our growing, mission-driven team. This role divides its time roughly evenly between litigation support and pre-litigation administrative appeals, with the mix shifting based on the firm’s active matters. This is a 40-hour work week. Because our firm is fully cloud-based, comfort with technology and strong communication skills are essential. The position may be performed onsite in our Oakland office or remotely from anywhere within California; we prefer a candidate who can regularly work from or visit our Oakland office. Remote employees must reside in California and perform their work between 7:00 a.m. and 6:00 p.m. PT, Monday through Friday.

Primary Areas of Responsibility include:

Litigation Support

● Draft basic pleadings, discovery, and other documents for attorneys.

● Review and research local court rules.

● Prepare litigation filings and e-filings in federal district court, including chambers copies as required.

● Review, analyze, and annotate administrative records.

● Coordinate scheduling of mediation and other meetings, calendar court deadlines, and prepare first drafts of mediation statements.

Pre-Litigation Appeals

● Review, analyze, and annotate insurance claim files and medical records.

● Work under the supervising attorney to prepare, update, and execute appeal plans.

● Gather supporting evidence from clients, treating providers, and experts, and coordinate expert evaluations as directed.

● Conduct legal and online research in support of appeals.

● Prepare letters and forms for physicians and other third parties.

● Prepare declaration statements and assemble appeal submissions, including exhibits.

Client Relations

● Communicate with clients, typically by email and phone, and provide regular updates on the progress of their case.

● Monitor and address client concerns and facilitate resolution of client issues.

● Build and maintain strong client relationships through clear, effective communication and service.

Team Collaboration

● Maintain regular communication with supervising attorneys, including timely updates on case status, workflow, and deadlines.

● Provide case and workflow updates at team meetings.

● Prepare and deliver presentations on assigned topics at our monthly team meetings.

Administrative & Operational Support

● Save and organize documents in our paperless environment, following firm protocols for file maintenance and calendaring.

● Provide various support tasks as requested, including assisting with medical record requests and processing incoming and outgoing mail.

● Provide back-up administrative support when another team member is out of the office.

Skills, Education, Experience

● Must meet the paralegal qualifications of California Business and Professions Code §6450(c) through one of the following:

  • A certificate of completion from an ABA-approved paralegal program;
  • A certificate or degree from a paralegal program at an accredited or state-approved postsecondary institution requiring at least 24 semester (or equivalent) units in law-related courses;
  • A bachelor’s or advanced degree in any subject, plus at least one year of law-related experience under the supervision of a qualifying California attorney, with that attorney’s written declaration; or
  • Qualification under §6450(c)(4) based on law-related experience completed by December 31, 2003.

● Bachelor’s degree preferred.

● Experience working in a busy office setting, preferably a law firm, with the ability to prioritize workload.

● Proficiency in Microsoft Office Suite and Adobe.

● Good technology skills, comfort working in a fully cloud-based environment, and the ability to troubleshoot basic tech issues.

● Excellent grammar and writing/editing skills.

● Strong organizational skills with close attention to detail.

● Self-motivated and organized, with a positive, can-do, team-oriented attitude.

● Experience with CLIO cloud-based management software is a plus.

● Experience with electronic case filing (ECF) in federal district court is a strong plus.

● Experience working with ERISA or disability claims is preferred but not required.

The hourly rate for this position starts at $36/hour with eligibility for a performance bonus. Benefits include medical (Kaiser), dental, long-term disability, and life insurance benefits. The selected candidate will also be able to participate in the firm’s 401(k) profit sharing plan. Other benefits include accrual of two weeks of PTO and paid holidays.
