About the role

The LMD Coordinator has overall responsibility for the successful performance of the Last Mile Delivery Team nationwide. You will be responsible for ensuring the timely scheduling and dispatch of deliveries, for ensuring the delivery function is completed in a timely manner, and for the investigation and resolution of any issues. The role must deliver a high-quality, cost-effective service, with customer satisfaction as the priority.

Key responsibilities

  • Daily operations and coordination: review of driver schedules in Radaro and ensuring timely dispatch for delivery; monitoring deliveries and sorting any issues, assigning and scheduling upcoming deliveries and ensuring all consignments are ready for dispatch on time.
  • LMD management: sending daily LMD notifications to customers, updating all LMD records in Odoo, coordinating stocked item deliveries with short turnaround expectations, planning and confirming LMDs for Newtech, uploading confirmed deliveries into planning systems for next day delivery, preparing and managing upcoming delivery batches including 5 days forward planning.
  • Customer Communication: contacting customers prior to delivery to confirm bookings, handling delivery confirmations and scheduling adjustments, proactively communicating any delays or issues impacting delivery timelines.
  • Consignment and Issue management: investigation and resolution of missing or delayed consignments, tracking shipments to ensure accurate delivery progress, escalating and managing delivery exceptions as required, sending PODs (proof of delivery) to customers on request.
  • Team collaboration and meetings: participating in daily operational huddles with all areas of the business, aligning with internal teams on delivery promises and issues, maintaining visibility of delivery pipeline and risks.
  • Additional responsibilities: maintaining dispatch boards and ensuring all required jobs are scheduled, monitoring delivery tracking systems and flagging potential issues early, sending consignments and documentation when required.
  • Ad hoc and reactive tasks: responding to incoming calls and driver queries; troubleshooting delivery issues like lost consignments, missing parts, delays, coordinating with contractors and 3rd party logistics providers, organising driver support needs (ETAs, accommodation, vehicle issues) and handling escalations and general problem solving across the operations.
  • Fleet Management: running a weekly fleet review meeting with drivers, coordinating vehicle repairs and servicing, and handling breakdowns and after-hours work.
  • Returns & Pick-ups: sending drivers to site for minor repairs, managing the return process, collaborating with other areas to process the returns right first time.
  • Managing Depot Inventory: ensuring stock is only sent to depots for deliveries confirmed within the 5-day lead time, so depots don't hold excess stock.
  • Health & Safety: Ensuring drivers follow safe loading, load restraint and manual handling practices; completing and checking daily vehicle pre-start checks; reporting and investigating incidents, near misses and damage in line with company H&S procedures.
  • Fleet & Driver Compliance: Keeping vehicle WOF/COF, registration, RUC and servicing up to date; checking driver licences are current for the vehicles they drive; ensuring drivers comply with work time and logbook requirements.
  • Damage & Claims: Recording goods damaged in transit, raising claims with carriers and 3PLs, and arranging replacement deliveries with minimal impact on the customer.
  • Cost Control: Checking and approving carrier and 3PL invoices, monitoring fuel, overtime and accommodation costs, and identifying ways to reduce cost per delivery.
  • Reporting & KPIs: Providing a weekly LMD performance report to the Operations Manager covering on-time delivery (DIFOT), first-attempt delivery success, failed or re-booked deliveries, damage and claims, customer complaints, POD compliance and cost per delivery.
  • Continuous Improvement: Taking part in Lean and improvement activities, keeping the LMD improvement board up to date, and suggesting improvements to delivery processes and systems.
  • Cover & Handover: Keeping process notes up to date so the role can be covered during leave and helping train backup staff in LMD scheduling and Radaro.

About you

  • Strong organisational and time management skills
  • Ability to multitask in a fast-paced logistics environment
  • Excellent communication, administration and customer service skills
  • Problem solving mindset with attention to detail

  • Intermediate Excel and Outlook skills
  • Full New Zealand driver license
  • Project management skills preferred
  • Logistics/supply chain management experience required
  • Building or plumbing industry experience preferred
