Logistics Administration Assistant/Logistics Assistant

• Plan and optimize daily delivery routes using Optimo Route based on approved manifests, delivery schedules and customer requirements.
• Coordinate daily driver assignments, vehicle allocation, deliveries, collections, returns and sample deliveries.
• Monitor route progress, delivery status, delays, failed deliveries and operational issues; ensure timely escalation.
• Maintain vehicle compliance records, including registration, insurance, permits, renewals, servicing, fines and calibration certificates.
• Track vehicle mileage, maintenance schedules, odometer readings, accidents, breakdowns and repairs.
• Verify customer delivery addresses and Ship-To details across Odoo, Optimo Route and the Customer Database.
• Coordinate Cash on Delivery (COD), cheque collections, bank deposits and supporting documentation with the Finance team.
• Maintain Excel trackers, driver records, fleet documents, route feedback, compliance calendars and operational reports.
• Coordinate with drivers, suppliers, warehouse, sales, customer support and internal departments to ensure smooth logistics operations.
• Provide administrative and operational support to the Head of Logistics, including data compilation, pending-action follow-ups and risk escalation.
• Provide remote support to drivers on Saturdays during active delivery routes.

Desired Candidate Profile

• Relevant qualification or experience in Logistics, Supply Chain, Fleet Management or Business Administration.
• Hands-on experience in route planning, driver coordination, fleet administration and delivery operations.
• Working knowledge of Optimo Route, Odoo, MS Excel and logistics tracking systems.
• Experience maintaining vehicle compliance documents, insurance, registration, permits, service records and renewal trackers.
• Strong skills in data management, reporting, documentation and record keeping.
• Good coordination and communication skills to manage drivers, suppliers and cross-functional teams.
• Strong organizational skills, attention to detail and ability to manage multiple operational tasks and deadlines.
• Ability to handle delivery exceptions, vehicle breakdowns, compliance issues and urgent operational requirements.
• Knowledge of customer delivery documentation, COD coordination and cheque collection processes is preferred.
• Willingness to provide remote driver support on Saturdays as required.
