What they need
Position Overview
Regenesis is seeking a highly organized, proactive, and detail-oriented Logistics Associate to support the movement of wellness and medical-aesthetic equipment from order confirmation through final client delivery.
This role coordinates domestic and international shipments, maintains accurate order and tracking information, communicates with carriers, manufacturers, and internal teams, and proactively identifies potential delivery issues before they impact our clients.
A significant portion of our manufacturing and supply-chain coordination takes place with partners in China. The ability and willingness to regularly work evening and nighttime hours to communicate with our Chinese manufacturers and logistics partners during their business hours are requirements of this position.
Key Responsibilities
- Coordinate domestic and international shipments of equipment, accessories, replacement parts, and consumables.
- Manage the logistics process from order readiness through successful client delivery.
- Communicate directly with international manufacturers and suppliers, particularly our manufacturing partners in China.
- Regularly work evening/nighttime hours as needed to coordinate in real time with China-based manufacturers, suppliers, and logistics teams.
- Schedule freight pickups and deliveries with carriers, warehouses, manufacturers, and delivery partners.
- Coordinate ocean freight, air freight, ground freight, expedited shipping, inside delivery, and white-glove delivery when required.
- Maintain accurate shipment records, including tracking numbers, carrier information, estimated delivery dates, delivery status, and proof of delivery.
- Proactively monitor every active shipment and follow up with carriers when shipments are delayed or tracking information is unclear.
- Communicate delivery timelines and important updates to Sales, Client Success, Operations, and other internal stakeholders.
- Confirm shipping addresses and delivery requirements before equipment is dispatched.
- Coordinate rerouting of equipment when inventory or client needs change.
- Assist with international freight, customs documentation, import processes, and communication with freight forwarders and manufacturers.
- Coordinate event and trade-show logistics, including equipment shipments to and from venues.
- Manage logistics for replacement parts, warranty components, consumables, and service-related shipments.
- Maintain organized records of orders, shipments, serial numbers, delivery confirmations, and related documentation.
- Investigate delayed, lost, damaged, or incorrectly delivered shipments and work with the appropriate parties toward resolution.
- Escalate potential delivery problems early rather than waiting until they become client issues.
- Support inventory visibility across warehouses, events, incoming shipments, and client-bound equipment.
- Help continuously improve logistics processes, documentation, tracking systems, and SOPs.
Qualifications & Requirements
- 1–3+ years of experience in logistics, shipping, freight coordination, supply chain, fulfillment, warehouse operations, or a related position preferred.
- Must be willing and able to regularly work evening and nighttime hours to ensure sufficient working-hour overlap with teams in China.
- Schedule flexibility is essential, as communication with international partners may occasionally require responding to time-sensitive logistics matters outside traditional U.S. business hours.
- Experience coordinating international freight, imports, or working directly with overseas manufacturers is highly desirable.
- Previous experience working with manufacturers, suppliers, freight partners, or businesses in China is a strong asset.
- Mandarin Chinese language skills are a significant asset, but are not required.
- Experience coordinating freight or large-item deliveries strongly preferred.
- Familiarity with customs documentation, freight forwarding, ocean freight, and international shipping processes is beneficial.
- Excellent organizational and follow-up skills.
- Strong written and verbal communication.
- Exceptional attention to detail.
- Comfortable managing multiple active orders and deadlines simultaneously.
- Strong problem-solving skills and willingness to take initiative.
- Comfortable working in a fast-moving entrepreneurial environment where priorities may change quickly.
Ideal Candidate
You are someone who naturally follows things through to completion. You don't assume that booking a shipment means the job is finished—you verify that it is in transit, anticipate potential problems, communicate any changes, and confirm successful delivery.
You are comfortable communicating across cultures and time zones and understand that international logistics sometimes requires flexibility beyond a traditional 9-to-5 schedule.
Candidates with experience navigating U.S.–China logistics, communicating directly with Chinese manufacturers, or speaking Mandarin may be particularly well-suited to this position.
Compensation
$21-$24 per hour
