What they need
5 Team Carpentry and Flooring LLC specializes in bespoke joinery, flooring solutions, exhibition stands, and live event production across Dubai and the wider UAE. Operating from our central facility in Ras Al Khor, we handle rapid, deadline-driven deployments for exhibitions, trade shows, corporate events, and interior fit-outs.
Role Overview
We are looking for a reliable, highly organized Logistics Coordinator to oversee the movement of materials, fabricated event structures, tools, and site crews. In this role, you will bridge the gap between our Ras Al Khor workshop, external vendors, company fleet drivers, and event venues across the UAE (such as DWTC, Expo City, and major hotels).
Because event schedules demand strict delivery windows and night build-ups, this role requires rigorous route planning, municipality/venue permit management, and real-time transport tracking.
Key Responsibilities
- Fleet & Driver Management:
- Schedule, route, and dispatch in-house pickup trucks, 3-ton to 7-ton trucks, and third-party transport providers.
- Plan daily delivery and collection schedules to ensure fabricated joinery, flooring materials, and event backdrops reach project sites on time.
- Coordinate driver schedules, overtime, fuel logs, vehicle maintenance, and RTA compliance.
- Venue Logistics & Access Permits:
- Coordinate vehicle access, security passes, loading dock slots, and gate passes with venue operators (e.g., Dubai World Trade Centre, Madinat Jumeirah, ADNEC, Expo City) and mall managements.
- Prepare and submit required site access documents, driver security clearances, and vehicle registration papers ahead of build-up and de-rig deadlines.
- Dispatch & Reverse Logistics Coordination:
- Work closely with the Storekeeper and Production Supervisors to stage loads properly, avoid transport damages, and verify cargo against Delivery Notes (DNs).
- Organize smooth dismantle/breakdown logistics—ensuring prompt transport of reusable assets, flooring panels, and tools back to the Ras Al Khor warehouse post-event.
- Third-Party Vendor & Freight Coordination:
- Source, negotiate rates with, and book external transport (hiabs, flatbeds, recovery, or extra trucks) during peak exhibition surges.
- Track incoming raw material deliveries from timber, hardware, and paint suppliers to prevent workshop downtime.
- Documentation & Reporting:
- Maintain comprehensive transport logs, trip sheets, delivery acknowledgments, and site sign-offs.
- Monitor logistics expenses, vehicle maintenance invoices, and toll (Salik) accounts.
Requirements & Qualifications
- Experience: 2–4 years of logistics or dispatch coordination experience in the UAE, specifically within events production, exhibition stand building, interior fit-outs, or carpentry manufacturing.
- Venue & Route Knowledge: Thorough understanding of UAE road networks, RTA heavy-vehicle restrictions, and loading-dock procedures at major UAE event venues (DWTC, Expo City, hotels, convention centers).
- Permits & Documentation: Strong experience handling gate passes, venue security clearance, contractor badges, and delivery notes.
- Problem Solving & Agility: Strong ability to handle last-minute schedule changes, traffic contingencies, and overnight event load-ins/load-outs.
- Computer Skills: Proficient in Microsoft Excel, Word, and messaging tools for real-time dispatch tracking.
- Languages: Good professional English; fluency in Hindi/Urdu is highly advantageous for clear communication with drivers and workshop teams.
- Location: Based on-site at Warehouse #7, Ras Al Khor Industrial Area 2, Dubai, with availability to support overnight/weekend transport coordination during major event seasons.
Compensation & Benefits
- Competitive monthly salary aligned with experience.
- UAE standard benefits: Employment visa, medical insurance, annual paid leave, and end-of-service gratuity.
- Overtime allowances where applicable during high-volume exhibition periods.
Pay: AED2,000.00 - AED3,000.00 per month
Work Location: In person
