Logistics Coordinator

Description:
We are seeking an experienced Logistics Administrator to join our team in Dubai. The ideal candidate will have a strong background in logistics and administration, with a focus on distribution and supply chain operations.

Roles and Responsibilities:

Order and Inventory Management:

• Process purchase orders from customers, ensuring all details are accurate
• Update order records promptly and maintain a structured database of all transactions.
• Monitor inventory levels and collaborate with the warehouse team to ensure stock availability for order fulfillment.
• Track stock movement and reconcile discrepancies between physical stock and system data to prevent billing errors.
• Generate regular inventory reports and assist in planning for stock replenishments.

Logistics Coordination:

• Coordinate daily operations with the warehouse team to ensure orders are picked, packed, and delivered accurately and on time.
• Prepare detailed shipping documents, including invoices, packing lists, and delivery notes.
• Liaise with delivery drivers to ensure they have accurate and complete documentation for smooth delivery execution.
• Work with courier companies and freight forwarders for domestic and international shipments, ensuring all necessary customs documents and clearances are prepared.
• Plan and schedule shipments to optimize delivery times and reduce transportation costs.

Customer Communication:

• Serve as the primary point of contact for customers regarding their orders, delivery schedules, and shipping updates.
• Provide customers with accurate billing and shipment information, responding to inquiries in a timely manner.
• Address and resolve customer complaints related to logistics, ensuring customer satisfaction.

Reporting and Analysis:

• Generate and analyze logistics performance reports, including order accuracy, on-time delivery rates, and cost efficiency.
• Prepare monthly stock movement and sales reports to assist in strategic planning and decision-making.
• Maintain detailed records of all invoices, shipping documents, and other logistics-related paperwork for auditing and compliance purposes.

Compliance and Best Practices:

• Ensure compliance with all local and international shipping regulations, including customs clearance requirements.
• Ensure proper documentation is prepared and maintained for audits and inspections.

Cross-Functional Collaboration:

• Collaborate with sales, operations, and finance teams to align logistics activities with business goals.
• Work with suppliers and vendors to resolve supply chain issues and ensure timely delivery of materials or products.
• Support the finance team in verifying logistics-related expenses and maintaining an accurate record of shipping costs.

Qualifications and Requirements:

• Minimum 2 years of logistics experience in the UAE (experience in a distribution company is highly preferred).

• Strong knowledge of domestic and international shipments.

• Excellent English communication skills, both verbal and written.

• Detail-oriented with strong organizational and multitasking abilities.

• Available to join immediately.

Job Type: Full-time

Pay: From AED3,500.00 per month
