What they need

About AER Worldwide

For 30 years, AER Worldwide has helped companies get the most out of technology they no longer use. We provide IT asset disposition (ITAD), certified data destruction, remarketing, and electronics recycling for organizations in technology, automotive, telecommunications, healthcare, and electronics. We recover value from retired equipment and keep materials in the supply chain and out of landfills.

AER operates R2- and RIOS-certified facilities in North America and Asia Pacific and works with partners in Europe and South America. Our headquarters is in Livermore, California. Our tagline sums up what we do: Taking the past into the future.

About the Role

Every device AER processes starts with a pickup. As a Logistics Coordinator on our dispatch team, you will make sure it happens. You will quote and book freight, schedule our own trucks, keep clients updated, and make sure our ERP system shows exactly what is moving and where it is.

You will work with a second dispatch coordinator to cover the whole U.S. Your focus will be the West Coast, especially our Livermore, CA facility and clients in the Bay Area. Our team is spread across several locations and works closely through Teams, email, and phone. The job is hands-on and busy, and it suits someone who likes managing lots of moving parts and always follows through.

You do not need ITAD or recycling experience. We will teach you the industry. We are looking for strong coordination instincts and clear communication.

What You’ll Do

Freight and 3PL coordination

  • Receive pickup requests from clients and follow up on any missing details.
  • Get quotes from two or three carriers, get approval from our business development and customer support teams, and book the shipment.
  • Request certificates of insurance (COIs), bills of lading (BOLs), and tracking from carriers. Send BOLs, labels, and pickup dates to clients.
  • Track shipments through delivery and fix problems such as delays and missed pickups as they come up.

Local pickups with AER trucks

  • Schedule pickups for our Livermore truck fleet with the facility manager and resolve scheduling conflicts.
  • Prepare pickup tickets and labels for drivers. Keep orders current in our ERP system so drivers have accurate instructions and can collect client signatures on site.
  • Confirm pickup dates with clients and follow up afterward to make sure everything went well.

Transfers between facilities

  • Quote and book freight between AER facilities. Arrange BOLs and GPS tracking, give the warehouse pickup ETAs, and record costs and documents in the ERP.

International pickup support

  • Back up our international operations team by coordinating paperwork, pickup details, and follow-up with carriers. Tell clients about any delays.

Systems, data, and process

  • Keep our ERP system (Makor) accurate and up to date. It is the official record for every order, pickup, and transfer.
  • Update where collection bins are located in inventory, check the monthly bin reports, and flag when bin stock is low.
  • Help with data entry for other operations work and suggest improvements to work instructions and procedures.

Carrier and vendor management

  • Build working relationships with carriers and 3PLs, manage handoffs, and help find and onboard new vendors.

What You Bring

Required

  • Experience in logistics, dispatch, transportation, order management, or another coordination role.
  • Strong writing skills. Much of this job is done by email with clients and carriers.
  • Good organization and attention to detail, with the ability to track many open requests without dropping any.
  • Comfort with Microsoft 365, especially Outlook, Excel, and Teams, and the ability to learn new software quickly.
  • Self-direction in a hybrid role, working with teammates in other locations.
  • A calm, problem-solving approach when shipments go wrong.
  • High school diploma or equivalent.

Preferred

  • Experience quoting freight or working as a broker, including LTL/FTL rates, accessorial charges, and negotiating with carriers.
  • Fluency in English and Spanish.
  • Experience with shipping paperwork such as BOLs, COIs, and labels.
  • Experience with an ERP system.

Schedule and Work Arrangement

This is a hybrid role based in El Paso, TX. Standard hours are 9:00 a.m.–5:00 p.m. Mountain Time. Because you will support clients and facilities on the West Coast, you should expect to shift your hours later from time to time when needed.

Benefits

  • Health, dental, and vision insurance
  • Life insurance
  • 401(k) with company matching
  • Paid time off and paid holidays
