Role Overview

Are you a proactive problem solver with a passion for logistics, vendor management, and keeping heavy-duty fleets moving? We are looking for an energetic, detail-oriented Fleet Maintenance Support Coordinator to sit at the operational heart of our fleet.

In this role, you won't just take calls—you’ll drive the hub that links drivers, dispatch, fintech, and nationwide service vendors. Managing complex fleet maintenance workflows inside our proprietary Nexus system, you will triage critical repairs, negotiate cost estimates, reduce downtime, and transform breakdown data into strategic fleet insights.

Key Responsibilities

  1. Breakdown Triage & Vendor Dispatch

Prioritize & Triage: Evaluate incoming maintenance requests from drivers, telematics alerts, inspection reports, and dispatch teams based on severity and operational impact.

Dispatch Execution: Select and route the optimal repair vendor, mobile mechanic, dealership, or shop while strictly following approved vendor guidelines and escalation protocols.

Cost & Estimate Management: Review repair scope and estimates, negotiate competitive pricing within authority levels, and audit vendor invoices and work orders for completeness prior to payment release.

  1. End-to-End Repair Coordination & Operations

Workflow Management: Update repair milestones, event statuses, and attachments inside Nexus to maintain 100% data integrity throughout the lifecycle of every repair.

Stakeholder Bridge: Serve as the central communication hub between drivers, third-party vendors, dispatch, and internal teams to keep everyone aligned on repair status, scope, and ETA.

Downtime Minimization: Partner closely with Freight Dispatch to schedule maintenance around active load schedules, reducing empty miles and operational downtime.

  1. Cross-Functional Collaboration & Analytics

Driver & Customer Advocacy: Collaborate with Driver Success and Customer Experience teams to ensure transparent, proactive communication during unplanned delays.

Financial Oversight: Work alongside our Fintech team to manage financial exposure, track recoverable costs, and support warranty/claim recovery efforts.

Fleet Intelligence: Track recurring equipment failures and pattern data to provide actionable insight for fleet procurement, warranty claims, PM scheduling, and asset replacement decisions.

Continuous Improvement: Track vendor KPIs and repair turnaround times, escalating critical bottlenecks and identifying opportunities to streamline maintenance processes.

Qualifications & Requirements

Experience: 2–4+ years of experience in fleet management, logistics coordination, trucking dispatch, or heavy-duty diesel repair service writing.

BPO Advantage: Previous experience in a BPO, offshore, or shared services environment handling US/Canada logistics or customer operations is a strong plus.

Technical Aptitude: Experience working with fleet management software (FMS), telematics platforms, and maintenance management systems (experience with customized systems like Nexus is a strong plus).

Industry Knowledge: Familiarity with class 7/8 heavy-duty trucks, trailer systems, DOT inspection requirements, and common mechanical failure modes.

Negotiation Skills: Comfortable reading repair estimates, questioning inflated labor/parts charges, and advocating for cost-efficient solutions.

Communication: Exceptional spoken and written communication skills with a focus on staying calm and professional under operational pressure.

Problem-Solving: Strong organizational skills with the ability to multitask across multiple live breakdown events simultaneously.
