Logistics Virtual Assistant

Job Summary:
We're excited to welcome a reliable and detail-oriented Administrative and Operations Support Assistant to help streamline our logistics and warehouse delivery operations. This role involves managing tasks in ClickUp, handling proof-of-delivery data entry, and supporting customer communications via phone and email. The ideal candidate is organized, comfortable navigating project management tools, and confident handling phone-based customer interactions.

Key Responsibilities:

• Create and manage tasks in ClickUp for incoming logistics jobs
• Enter new job details into proof-of-delivery software so drivers have accurate information
• Respond to customer emails regarding shipment and load status
• Answer incoming phone calls from customers regarding delivery status and general inquiries
• Make outgoing calls to customers when needed, including occasional sales-related calls
• Support day-to-day warehouse and delivery coordination tasks
• Assist with process improvements as tasks become automated over time
• Maintain accurate and up-to-date records across systems

Mandatory Skills:

• Comfortable navigating project management tools such as ClickUp (willingness to learn if not already familiar)
• Strong data entry accuracy and attention to detail
• Confident and professional phone communication skills
• Reliable, detail-oriented, and able to work independently
• Strong written communication skills for email correspondence

Preferred Skills:

• Prior experience in logistics, warehousing, or delivery/courier operations
• Experience with proof-of-delivery software
• Experience with phone systems such as OpenPhone, Google Voice, or RingCentral
• Comfortable taking on expanded responsibilities as processes become automated
