What they need
Job Summary
The Mailroom Coordinator keeps mail and packages flowing smoothly between the loading dock and every floor of the building. You'll open each morning by sorting the overnight drop, matching packages to names or departments, and getting the cart loaded for delivery rounds. Afternoons shift toward outgoing mail, weighing items, choosing the right carrier, and printing postage. It's not glamorous work, but it's the kind that people notice the moment it stops running smoothly. You'll also track packages that need a signature and follow up when something's missing. Interruptions are common, so you'll often juggle a delivery run with a phone call about a lost envelope. We're generally looking for someone who can keep the pace steady even when the volume isn't.
Responsibilities
- Sorting incoming mail by floor, department, or name
- Running scheduled delivery rounds throughout the building
- Prepare outgoing packages and select appropriate postage
- Logging and signing for tracked or certified deliveries
- Troubleshooting misdirected or delayed packages
- Restocking mailroom supplies such as tape, labels, and mailing envelopes
- Operating the postage meter and shipping label printer
- Coordinating with building security when a package looks unusual, and keeping the mailroom itself tidy between rounds
Qualifications
- You stay on top of where each package needs to go, even when the morning drop is heavier than usual.
- Speaking clearly and politely comes naturally when a coworker calls asking about a missing envelope.
- When the mail cart and the phone are both demanding attention, you're able to handle both without dropping either.
- Familiarity with basic office software helps when you're logging shipments or printing labels.
- You show up on schedule, since delivery rounds depend on a consistent routine.
- If a carrier changes its pickup time or a new tracking system gets introduced, you pick it up without much fuss.
- Staying polite and patient with people who stop by mid-task is something you handle well.
- You keep an even pace under pressure, even on days when packages pile up faster than expected.
