THE ROLE

The Maintenance Coordinator plays a key role in supporting the delivery of efficient, cost-effective, and customer-focused vehicle maintenance services. Working closely with Maintenance Controllers, you'll process maintenance transactions, review invoices, resolve discrepancies, and manage maintenance queries while ensuring accurate records and smooth day-to-day operations.

Some of your key responsibilities will be:

  • Support the administration of vehicle servicing, repairs, maintenance, and tyre replacement activities.
  • Review, process, and reconcile maintenance invoices, resolving discrepancies and exceptions.
  • Monitor workflow queues and ensure maintenance requests are actioned within agreed service levels.
  • Maintain accurate maintenance records, transaction data, and documentation within company systems.
  • Liaise with customers, suppliers, and internal stakeholders to resolve queries and ensure positive service outcomes

ABOUT YOU:

You’re organised, detail focused and enjoy keeping things moving. You may come from an administration, customer service or coordination background and enjoy solving problems, supporting others and keeping things on track.

You will join a supportive and experienced team that works hard, collaborates closely and enjoys having a laugh along the way.

To be successful in this role, you will have:

  • Strong attention to detail and a high level of accuracy.
  • Good problem-solving and administration skills.
  • A customer-focused approach and commitment to providing great service.
  • Strong verbal and written communication skills.
  • The ability to manage competing priorities and work under pressure.
  • Intermediate Microsoft Office skills, particularly Excel, Outlook and Word

BENEFITS:

We offer more than just a role:

  • 27 days of annual leave per year.
  • Hybrid work flexibility with a convenient office location with parking on site and a short walk from Ellerslie Station
  • Health insurance from your first day, with a company‑funded subsidy for Southern Cross or Marram.
  • A ‘Dress for your Day’ policy
  • 16 weeks paid parental leave for primary careers, regardless of gender and with no minimum tenure and 4 weeks paid leave for secondary carers
  • Ongoing training to help you develop and grow with real career development opportunities
  • Rewards program, including a range of discounts from a variety of retailers
  • Regular social events, wellbeing initiatives and team activities through our Social Club and Pit Crew
