Maintenance Inventory Coordinator

Work Schedule: US Working Hours / Night Shift
Work Location: Cyberscape Alpha, Ortigas Center, Pasig City (Onsite)

What is your mission?

We are looking for a detail-oriented Maintenance Parts and Inventory Coordinator to support the efficient management of spare parts, maintenance records, inventory accuracy, and asset tracking across operations. The role is responsible for maintaining inventory databases, monitoring parts availability, managing maintenance documentation, and ensuring accurate data entry and reporting. This position works closely with teams using Enterprise Resource Planning and Computerized Maintenance Management Systems to support maintenance operations and asset reliability.

You will provide the best service to our partner brands by performing these tasks:

• Manage and maintain accurate spare parts inventory records, ensuring parts availability and inventory accuracy.
• Perform detailed data entry, validation, and maintenance of inventory and asset management databases.
• Monitor and track maintenance-related inventory, equipment parts, and asset information.
• Maintain organized and accurate maintenance documentation, records, and inventory files.
• Generate, update, and analyze reports using Microsoft Excel and other business applications.
• Utilize Enterprise Resource Planning, Computerized Maintenance Management Systems, and maintenance software to support operational processes.
• Review inventory and maintenance data to identify discrepancies and ensure data integrity.
• Coordinate and communicate with United States-based stakeholders regarding inventory and maintenance-related information.
• Support maintenance and operations teams by providing accurate inventory, parts, and asset data.
• Follow established procedures to ensure efficient inventory control and maintenance record management.

Who are we looking for?

• Bachelor's degree, diploma, or equivalent experience in Mechanical Technology, Industrial Technology, Maintenance Management, or a related field.
• Previous experience in parts management, maintenance inventory management, asset management, or a related role.
• Basic understanding of mechanical equipment, machinery, tools, and spare parts.
• Strong experience working with inventory data, records management, and large datasets while maintaining a high level of accuracy.
• Proficiency in Microsoft Excel, spreadsheets, and computer-based data management.
• Experience using Enterprise Resource Planning, Computerized Maintenance Management Systems, UpKeep, Plex, or similar business and maintenance platforms is an advantage.
• Strong computer and data entry skills with exceptional attention to detail.
• Good written and verbal English communication skills.
• Comfortable communicating directly with United States-based stakeholders.
• Strong organizational and record-keeping skills.
• Tech-savvy with the ability to learn and adapt to new business and maintenance software applications.
• Able to work independently while following established processes, procedures, and operational standards.
