Job Summary
We are seeking a proactive and detail-oriented Maintenance Planner to join our team. In this vital role, the Maintenance Planner is responsible for planning, scheduling, coordinating, and documenting maintenance activities, equipment repairs, installations, and plant projects. This role partners closely with maintenance mechanics, welders, contractors, electricians and plant leadership to ensure work is properly scoped, resourced, scheduled, and completed safely and on time. The Maintenance Planner also manages parts procurement, inventory accuracy, and the warehouse used to store maintenance parts and materials and directly supervises the Inventory Control Specialist.
Key Responsibilities
- Receive and evaluate maintenance work requests; create detailed work orders, scopes, labor estimates, and parts requests.
- Plan and schedule preventive, predictive, corrective, and project maintenance work in coordination with plant leadership.
- Develop outage plans, including work scopes, schedules, labor requirements, contractor support, materials, staging, and task sequencing.
- Coordinate daily and outage work with electricians, maintenance mechanics, welders, contractors, operations personnel, and vendors.
- Order parts, equipment, and services; obtain approvals; track deliveries; and ensure materials are available before scheduled work begins.
- Maintain the maintenance parts warehouse, including receiving, labeling, stocking, issuing, cycle counting, organization, and inventory accuracy.
- Supervise, train, assign work to, and provide day-to-day direction for the Inventory Control Specialist; monitor performance and support accurate, efficient inventory and warehouse operations.
- Maintain accurate parts, assets, work order, preventive maintenance, labor, cost, and inventory records in the CMMS.
- Track project and work-order progress, identify schedule or material risks, and support safe, timely completion.
- Review invoices, verify pricing and quantities, investigate discrepancies, and help prevent overbilling.
- Source and maintain relationships with preferred and backup vendors to improve availability, lead times, service, and cost.
- Prepare maintenance schedules, backlog reports, inventory reports, cost tracking, and other planning documents for management.
Required Qualifications
- Minimum of five years of experience in industrial maintenance planning, scheduling, coordination, or a closely related role.
- Demonstrated outage planning experience in an industrial, manufacturing, processing, or similar environment.
- Upper-intermediate to advanced Microsoft Excel proficiency; skills will be tested during the selection process.
- Proficiency with Microsoft Project, Microsoft Word, and Microsoft PowerPoint.
- Required experience using a computerized maintenance management system (CMMS), such as eMaint, SAP, or a similar platform.
- Required inventory management, parts procurement, and maintenance warehouse experience.
- Working knowledge of mechanical and electrical components, equipment, and maintenance terminology.
- Experience coordinating work with electricians, maintenance mechanics, and welders.
- Ability to read and interpret equipment manuals, drawings, bills of materials, work orders, and vendor documentation.
- Strong organization, communication, follow-through, and problem-solving skills.
- Ability to manage multiple priorities, changing schedules, and urgent maintenance needs, including participation in a rotational on-call schedule.
Preferred Qualifications
- Associate or bachelor’s degree in maintenance technology, engineering technology, industrial management, business, or a related field is preferred; however, substantial directly relevant experience may be considered in place of a college degree, and practical experience will be given significant consideration.
- Experience supporting maintenance operations in ethanol plants, refineries, power plants, or similar heavy industrial, continuous-process facilities.
- Experience developing preventive maintenance plans, job plans, and task libraries.
What Success Looks Like
The successful candidate will improve schedule readiness, parts availability, inventory accuracy, CMMS data quality, outage execution, and communication across maintenance and operations. This person will be hands-on, organized, technically capable, and comfortable working in both office and industrial plant environments.
