What they need
Havenview Residential Communities is a growing, full-service residential property management company. We are looking for a seasoned maintenance leader to take ownership of maintenance operations across our multifamily portfolio: setting the standard, supporting our on-site teams, and driving the projects that keep our communities safe, well maintained, and running efficiently.
If you are the person others call when a repair is stumping them, and you are equally comfortable walking a property with an owner, comparing contractor bids, or picking up tools alongside your team, this role was built for you.
OUR CORE VALUES
- Attitude Is Everything. We bring a positive, solutions-first mindset to every property.
- Make a Difference. Our work directly shapes where people live.
- Create Value. We protect and improve the assets entrusted to us.
- Be Relentless. We follow through until the job is done right.
- Every Client Is a Partner. We earn trust through transparency and results.
ABOUT THE ROLE
The Portfolio Maintenance Supervisor combines team leadership, project coordination, vendor management, and hands-on maintenance support. You will split your time between our corporate office and our communities, assessing property needs, overseeing work in progress, meeting with vendors, and providing coverage where it is needed most.
WHAT YOU WILL DO
Portfolio Maintenance Oversight
- Direct maintenance operations across the portfolio, helping teams prioritize work orders, preventive maintenance, apartment turns, and property repairs.
- Conduct regular property inspections to identify maintenance needs, safety concerns, and opportunities to improve property condition.
- Partner with Community Managers and leadership to resolve maintenance issues and keep projects moving.
- Develop and maintain consistent procedures, service standards, and preventive maintenance schedules.
Team Leadership and Hands-On Support
- Lead, coach, and support maintenance team members across multiple communities.
- Coordinate staffing and coverage based on property needs, workload, and urgent repairs.
- Provide hands-on maintenance assistance and fill in at communities when additional support is needed.
- Train employees in troubleshooting, repair quality, safe work practices, and resident service.
- Participate in hiring, onboarding, and performance feedback for maintenance staff.
Vendor, Bid, and Project Coordination
- Identify project needs, define scopes of work, and obtain competitive bids from qualified vendors.
- Compare proposals on pricing, scope, quality, and timing, and present recommendations for approval.
- Meet with vendors and contractors, coordinate site access, and monitor work progress.
- Oversee repairs, replacements, renovations, and capital improvement projects from planning through completion.
- Verify that completed work meets expectations and resolve deficiencies with vendors.
- Track project expenses and review invoices against approved proposals.
Owner and Leadership Reporting
- Provide clear updates to property owners and leadership on maintenance priorities, project status, costs, and outstanding issues.
- Prepare repair recommendations, bid comparisons, timelines, and supporting documentation.
- Communicate promptly about unexpected costs, delays, urgent conditions, or items requiring a decision.
- Maintain organized records of inspections, vendor proposals, warranties, and completed projects.
Safety and Resident Service
- Promote safe work practices and proper use of tools, equipment, and personal protective equipment.
- Ensure maintenance teams approach occupied-unit work professionally and respectfully.
- Coordinate responses to urgent maintenance issues and participate in after-hours on-call coverage as needed.
- Keep maintenance shops clean, organized, and appropriately stocked across communities.
WHAT YOU BRING
Required
- Significant hands-on maintenance experience, preferably in multifamily residential property management.
- Experience supervising maintenance employees or leading maintenance operations across multiple properties.
- Strong working knowledge of HVAC, plumbing, electrical troubleshooting, appliance repair, carpentry, and general building maintenance.
- Experience obtaining and comparing bids, coordinating contractors, and managing repair or improvement projects.
- Ability to assess maintenance priorities, control costs, and see projects through to completion.
- Strong communication skills, including the ability to explain maintenance needs and recommendations to owners and leadership.
- Proficiency with email, spreadsheets, and maintenance or property management software.
- Valid driver’s license and the ability to travel regularly between communities.
Preferred
- EPA Section 608 and/or HVAC certification.
- Experience managing capital improvement projects.
- Familiarity with work order systems such as AppWorks.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
The following describes the essential physical functions of this position. Reasonable accommodations may be made to enable individuals with disabilities to perform these functions.
- Perform hands-on maintenance work, including using hand and power tools, climbing ladders, and working in varying indoor and outdoor conditions.
- Move throughout apartment communities, including stairs, mechanical rooms, roofs, and grounds.
- Travel regularly between communities and the corporate office.
- Respond to after-hours and emergency maintenance needs as required.
WHAT SUCCESS LOOKS LIKE
- Maintenance teams receive clear direction and dependable support.
- Work orders and apartment turns are completed promptly and to consistent standards.
- Vendors deliver quality work within approved scopes and budgets.
- Owners and leadership receive timely, accurate updates.
