As a Management Assistant, Aviation Commercial, you will:

  • Provide comprehensive administrative support to senior leaders and their management teams, helping to ensure the efficient day-to-day operation of the Aviation, Customer and Airline Relations, and Commercial Performance and Governance departments.
  • Coordinate departmental meetings, special events and off-site activities, including room bookings, invitations, catering, agendas, presentations, minutes and follow-up on action items.
  • Manage complex calendars and scheduling requirements, proactively following up and liaising with employees, leaders and external stakeholders at all levels.
  • Triage multiple and competing inquiries, requests and priorities, ensuring matters are addressed or redirected promptly and appropriately.
  • Prepare, review and coordinate correspondence, presentations, organizational charts, reports and other routine or confidential documents using Microsoft Office applications.
  • Support departmental financial processes, including budget and forecast preparation, data collection, invoice processing, expense reports, operating-expense tracking, accruals and ad hoc reporting.

  • Build and maintain effective relationships with internal and external stakeholders, responding to requests for assistance and serving as an ambassador for the department.
  • Maintain organized and accessible departmental records in accordance with established records-management policies and processes.
  • Provide administrative continuity by supporting contract and subscription renewals, serving as backup to other administrative professionals, and assisting with marketing, events and communications activities as required.
  • Deliver on ad hoc projects and duties as required.

This is the role for you, if you have:

  • Completion of secondary school, supported by a combination of relevant education and experience.

  • A minimum of two years of office administration experience, or an equivalent combination of education and relevant experience.
  • Three or more years of progressive experience providing administrative support within a senior-level office environment is considered an asset.
  • Proficiency with Microsoft Office applications, particularly Outlook, Word, Excel and PowerPoint.
  • Excellent written and verbal communication, organizational, listening and interpersonal skills, with the ability to work confidently with employees and leaders at all levels of an organization.
  • Strong time-management skills and the ability to manage competing demands, changing priorities and tight deadlines in a fast-paced environment.
  • Sound judgement, tact and discretion when preparing, handling or disclosing confidential and sensitive information.
  • A proactive, organized and systematic approach to administrative support, with the ability to anticipate needs, solve problems and provide timely follow-up.
  • Experience supporting financial administration, such as budget forecasting, preparation, reporting, expense tracking or financial controls, is considered an asset.
  • Experience working in a customer-centric environment, with a strong commitment to responsive and professional service.
  • Strong numerical accuracy and working knowledge of corporate finance, time-reporting or records-management systems are considered assets.
