* Experience : 10 years on MIS or Project management related work

1. Objective

The objective of the engagement is to review, strengthen and streamline the Company's existing Management Information System (MIS), establish a reliable and timely management reporting framework, and assist management in implementing systems and processes that enable better decision-making, accountability, cost control and business performance monitoring.

The consultant will work closely with the Managing Director and departmental heads and will act as an advisor and implementation facilitator rather than merely as a report-preparation resource.

2. Review of Existing MIS

The consultant shall undertake a comprehensive review of the existing MIS system, including:

• Existing reports and dashboards prepared by various departments

• Data sources and methods of data collection

• ERP/accounting/software systems currently being used

• Excel-based systems and manual processes

• Reporting frequency and timelines

• Accuracy, consistency and completeness of information

• Duplication of data and reporting

• Gaps between operational data and management reporting

• Existing approval and authorization processes

• Availability of historical data and trend analysis

• Department-wise responsibility for data generation and reporting

The consultant shall identify areas where the present MIS is inadequate, inefficient, duplicated or dependent excessively on individuals.

3. Management Reporting Framework

The consultant shall design a structured MIS framework for management, including:

A. MD Dashboard

A concise management dashboard covering, as applicable:

• Sales/order booking

• Revenue

• Gross margin

• Outstanding receivables

• Collections

• Cash flow

• Order pipeline

• Project status

• Production status

• Purchase commitments

• Inventory

• Major expenses

• Profitability

• Key customer issues

• Major pending decisions

• Department-wise performance

B. Departmental MIS

Develop appropriate MIS formats for:

• Sales & Marketing

• Projects

• Production

• Purchase

• Stores

• Finance & Accounts

• HR/Admin

• Design/Estimation

• Installation/site operations

Each report should clearly identify:

Target → Actual → Variance → Reason → Corrective Action → Responsibility → Deadline

4. KPI Development

The consultant shall work with management to establish measurable KPIs for each department and key managerial position.

KPIs should include both:

Quantitative KPIs

Examples:

• Revenue

• Gross margin

• Order conversion

• Collection efficiency

• Project completion

• Cost variance

• Material wastage

• Productivity

• Inventory levels

• Outstanding receivables

• Employee productivity

Qualitative/Management KPIs

• Customer satisfaction

• Quality of work

• Timeliness

• Process compliance

• Team development

• Problem-solving

• Internal coordination

The consultant shall recommend appropriate targets and reporting frequency in consultation with the MD.

5. Project & Order MIS

Considering the Company's project-based signage business, the consultant shall establish an integrated order/project tracking system covering the complete cycle:

Lead → Enquiry → Quotation → Negotiation → Order → Design → Procurement → Production → Dispatch → Installation → Completion → Billing → Collection

The system should enable management to identify where every major order/project stands at any point in time.

For each project, the MIS should preferably capture:

• Customer

• Order value

• Estimated cost

• Expected gross margin

• Project manager

• Order date

• Delivery commitment

• Current stage

• Procurement status

• Production status

• Installation status

• Billing status

• Collection status

• Delays

• Reasons for delay

• Expected completion date

6. Implementation of Systems

The consultant shall assist management in implementing the recommended systems.

This may include:

• Evaluation of existing software

• Identification of additional software/tools required

• ERP/CRM/MIS implementation support

• Integratio

Pay: ₹10,000.00 - ₹12,000.00 per month
