Manager of Operational Procurement

Key Responsibilities:

Procurement Operations & Supply Assurance

• Lead and control the entire operational procurement process from PR to invoice/payment.
• Ensure POs are created accurately, on time, and in line with approved commercial terms, contracts, and business requirements.
• Monitor open, overdue, and at-risk POs, ensuring timely follow-up and closure.
• Ensure procurement activities meet business needs, inventory targets, and supply continuity.
• Proactively identify risks of supply disruption, delivery shortages, and risks to critical SKUs; implement timely corrective actions.
• Work closely with the Planning and Sales departments to align procurement and delivery plans with business needs.

Supplier Performance Management

• Manage day-to-day operational relationships with suppliers and ensure committed service levels are met.
• Track key supplier performance indicators, including OTD, OTIF, lead time, quality, responsiveness, and documentation accuracy.
• Lead supplier performance reviews, implement corrective actions, and drive improvement programs.
• Coordinate the handling of supplier claims/complaints related to shortages, late deliveries, damages, quality, and documentation.
• Identify supplier risks and provide performance data and analysis to the Procurement/Sourcing team to support supplier evaluation and strategy.

Import & Inbound Supply Coordination

• Coordinate inbound procurement activities with Logistics, Import-Export, Warehouse, Planning, and Finance.
• Track inbound shipments end-to-end, from supplier confirmation → shipping → ETA → customs clearance → goods receipt.
• Ensure shipping and import documentation is complete, accurate, and provided on time.
• Proactively manage delayed deliveries, exceptions, and operational issues as they arise.
• Work with Logistics and Procurement to optimize shipping costs, consolidation, lead time, and container utilization.
• Support transparency and control of landed costs.

Working Capital & Purchase Cost Control

• Track the value of open POs, purchase commitments, advance payments, and supplier payment terms.
• Work with Finance to ensure accurate, on-time processing of invoices, goods receipts (GR), and payments.
• Coordinate with Planning on inventory levels related to procurement activities, including over-purchasing, MOQ, long-lead-time orders, and slow-moving inventory.
• Ensure a balance between supply reliability, inventory levels, and working capital requirements.

Process Governance, Compliance & Continuous Improvement

• Build and continuously improve SOPs, processes, workflows, controls, and operating standards for procurement.
• Ensure consistent compliance with procurement processes across business units and categories.
• Identify process gaps, control weaknesses, and opportunities to improve productivity.
• Standardize procurement practices, master data, documentation, and reporting.
• Drive continuous improvement initiatives to reduce processing time, manual work, and operational errors.

ERP, Digitalization & Procurement Analytics

• Act as Business Owner/Key User for procurement processes on the ERP system (BC365).
• Lead system improvement, automation, and digitalization initiatives for procurement processes in coordination with IT and solution providers.
• Improve the quality of procurement data and transaction accuracy.
• Build and maintain procurement dashboards and management reports.
• Provide leadership with visibility into open POs, overdue POs, supplier performance, supply risks, purchase commitments, and input costs.

Leadership & Cross-Functional Coordination

• Build and maintain effective coordination with Procurement, Sales, Planning, Logistics, Import-Export, Warehouse, Finance, Quality, and IT.
• Ensure clear accountability and timely resolution of procurement and supply-related issues.
• Provide analysis and insights from operational procurement to support sourcing, supplier strategy, inventory planning, and business decisions.
• Participate in S&OP activities and related business review meetings.

Team Leadership & Development

• Lead, coach, and develop the Operational Procurement team.
• Set goals, KPIs, performance standards, and team priorities.
• Allocate resources effectively and ensure continuous operations.
• Develop the team’s capabilities in purchase execution, supplier management, ERP, data analysis, and problem-solving.

Key Requirements:

• Bachelor’s degree in Economics, Engineering, or a related field.
• 3–5 years of operational procurement experience in large-scale FMCG or trading companies, in a managerial role.
• Strong procurement and purchase execution expertise, including supplier management and development.
• Good understanding of the food ingredients industry.
• Strong understanding and management of commercial, supply, quality, and import/export risks.
• Solid knowledge of procurement processes and systems.
• Strong cross-functional collaboration to resolve operational issues, analyzing root causes and potential risks to propose improvements and support decision-making.
• Strong negotiation skills.
• Good communication and collaboration skills.
• Strong ability to manage and develop team capability and operational efficiency.
