Mandarin-Speaking Executive Assistant – HR & E-Commerce Operations

About the Role

We are building and expanding our e-commerce and TikTok live commerce business in Indonesia.

We are looking for a Mandarin-speaking Executive Assistant who can work closely with the Director and take an active role in HR & recruitment, team coordination, e-commerce operations, and daily company management.

Fluent Mandarin is a mandatory requirement for this position, as you will communicate directly with the Chinese Director and coordinate between the Chinese and Indonesian teams.

This is not a traditional administrative assistant position. We are looking for someone who is proactive, responsible, organized, and capable of helping us build and manage our local team and business operations in Indonesia.

Key Responsibilities

• Work directly with the Director and assist with daily business operations.
• Communicate in Mandarin with the Director and coordinate with the Indonesian team.
• Manage recruitment activities, including posting vacancies, screening CVs, contacting candidates, arranging interviews, and onboarding.
• Assist with employee training, attendance, performance follow-up, and daily HR administration.
• Coordinate and communicate with employees to ensure tasks are properly understood and completed.
• Support the development of the company's e-commerce and TikTok live commerce business.
• Coordinate with TikTok live-streaming hosts, operations staff, and other e-commerce team members.
• Understand and follow up on live-streaming operations, schedules, products, sales activities, and team performance.
• Assist with office administration and daily company operations.
• Follow up on important tasks assigned by the Director and report progress.
• Help solve day-to-day operational and employee-related issues.
• Support the establishment and development of company procedures and internal management systems.

Requirements

Mandatory:

• Able to communicate fluently in Mandarin Chinese.
• Able to communicate effectively with both Chinese management and Indonesian employees.
• Strong communication, coordination, and problem-solving skills.
• Willing to work full-time on-site in Cikupa, Tangerang.

Highly Preferred:

• Experience in HR, recruitment, employee management, training, or team coordination.
• Experience in e-commerce, TikTok Shop, live streaming, MCN, digital marketing, or related industries.
• Understanding of the basic operational process of e-commerce and live-streaming businesses.
• Able to independently handle recruitment and daily employee coordination.
• Good organizational skills and ability to manage multiple tasks.
• Familiar with Microsoft Office / Google Workspace and common office tools.

Additional Advantages:

• Previous experience working with a Chinese company or Chinese management.
• Experience recruiting live-streaming hosts, e-commerce staff, sales staff, or operations staff.
• Knowledge of TikTok Shop Indonesia and live commerce.
• English communication skills.
