363 Car & Social Club is a unique member-focused environment combining elements of a private club, event venue, automotive facility, and hospitality experience. We are looking for a Member & Events Coordinator to work closely with our General Manager and help deliver an exceptional experience for our members and guests.
This is a hands-on, varied role for someone who is personable, organized, dependable, and confidently takes initiative. The successful candidate will act as a trusted support to the General Manager by taking ownership of responsibilities, following through on details, identifying issues early, and ensuring tasks get done.
What You'll Do
- Welcome and assist members and guests while providing exceptional service.
- Support the planning and execution of private events, member functions, automotive events, dinners, tastings, and special programs.
- Coordinate with caterers, entertainers, rental companies, cleaners, and other vendors.
- Assist with event setup, guest arrival, food and beverage service, event flow, cleanup, and facility reset.
- Manage inquiries, bookings, schedules, event information, correspondence, and other administrative tasks.
- Assist with member communications, invitations, RSVPs, reminders, and announcements.
- Maintain the appearance, cleanliness, organization, and readiness of member and event spaces.
- Monitor inventory and ensure supplies, glassware, bar items, and other operational necessities are available.
- Coordinate and support golf and driving simulator use for members and events, including system operation and basic troubleshooting.
- Provide hospitality and bar support as required.
- Assist with automotive events and activities within our vehicle collection and storage environment.
- Identify problems early and take reasonable initiative to resolve them or escalate them promptly.
- Provide general operational support to the General Manager and team.
What We're Looking For
We're looking for someone who is:
- Reliable, accountable, and committed to following through with tasks.
- Personable and confident when interacting with members, guests, vendors, and colleagues.
- Highly organized and attentive to detail.
- Proactive and comfortable taking initiative without constant direction.
- Flexible and willing to move between administrative, hospitality, event, and hands-on responsibilities.
- A strong problem solver who knows when to act and when to ask for direction.
- Comfortable working in a small, hands-on team environment.
- Genuinely interested in contributing to the overall success of 363.
Qualifications
Required:
- Strong customer service and communication skills.
- Good organizational and administrative abilities.
- Basic computer skills, including email, calendars, and spreadsheets.
- Ability to work independently and follow assignments through to completion.
- Valid Ontario Smart Serve certification, or willingness to obtain it.
- Evening and weekend availability.
Assets:
- Event planning or hospitality experience.
- Automotive knowledge or a genuine interest in cars.
- Experience with private clubs, member-based organizations, food and beverage, or event venues.
- Knowledge or interest in wine, Scotch, or premium beverages.
- Social media or event-content experience.
Schedule
This is a part-time, flexible position, with hours based on events, member activities, administrative, and facility requirements.
There will be opportunities for increased hours, including full-time hours during major events, busy seasons, and special functions.
What Success Looks Like
Success in this position is not measured simply by completing assigned tasks. A successful 363 Member and Events Coordinator becomes someone the General Manager and ownership can rely upon to take ownership of the 363 experience.
You are someone the General Manager can delegate tasks to, having confidence they will be completed promptly. You take ownership, follow through, and help ensure that members receive an exceptional experience and that 363 Car & Social Club is always ready for its next event or function.
