Role & responsibilities

MIS & Management Reporting

• Prepare and update monthly MIS reports and management reports related to project activities.
• Compile project-related data from various departments and ensure its accuracy and completeness.
• Maintain and update project databases, records, and MIS trackers.
• Prepare reports and data summaries as required by management for project monitoring and review.
• Ensure timely submission of MIS reports as per defined reporting schedules.

2. Customization Sheet Verification & Site Progress Validation

• Verify customization sheets for all project phases and ensure that the recorded information is complete and accurate.
• Cross-check executed works mentioned in customization sheets with actual site progress.
• Coordinate with the Site Team to verify discrepancies between documented and executed works.
• Maintain proper records of verified and pending customization-related information.
• Highlight discrepancies and follow up with the concerned teams for necessary corrections.

3. Drawing Coordination & Documentation

• Coordinate with the Site Team, CRM Team, and Architecture Team regarding drawing-related issues, clarifications, and revisions.
• Maintain and regularly update drawing registers for project documentation.
• Track drawing submissions, revisions, approvals, and pending clarifications.
• Ensure that the latest approved drawings and relevant documentation are properly recorded and maintained.
• Follow up with concerned departments on pending drawing-related issues.

4. Contractor Coordination & Meeting Management

• Coordinate and schedule meetings with contractors and relevant project stakeholders.
• Prepare Minutes of Meeting (MOM) based on discussions and decisions taken during project meetings.
• Circulate MOMs to concerned stakeholders within the required timeline.
• Maintain proper records of MOMs and track action points until closure.
• Follow up with responsible teams/contractors regarding pending action items.

5. Project Data & Documentation Management

• Compile and maintain project-related data, documents, and records in a systematic manner.
• Maintain and update MEP-related records and documentation.
• Ensure proper filing, indexing, and retrieval of project documents.
• Maintain accurate records of project activities and supporting documentation.
• Ensure that project documents are properly organised and readily accessible to authorised personnel.

6. Issue Tracking & Follow-up

• Maintain an updated project issue tracker covering pending issues, responsible persons, target dates, and current status.
• Follow up with concerned departments and stakeholders for closure of pending issues.
• Monitor the status of outstanding issues and provide regular updates to the Project Head / Project Manager.
• Escalate critical or long-pending issues to the concerned authority.
• Ensure proper documentation of issue resolution and closure.

7. Data Control & Project Documentation

• Ensure systematic documentation and data control for all project activities.
• Maintain consistency and accuracy across project records and reports.
• Regularly update project trackers and ensure that information is current.
• Maintain proper version control of relevant project documents and records.
• Support the project team in retrieving required project data and documentation whenever required.
