Mobilisation Coordinator (AU mining / construction industry)

Work Arrangement: Onsite to report in Clark, Pampanga
Shift Schedule: 7:30 AM - 4:30 PM PH Time (with Weekend Coverage)

Job Responsibilities:

• Coordinate the mobilisation and demobilisation of personnel in accordance with client and operational requirements.
• Verify personnel compliance by reviewing licences, qualifications, medicals, training records and other required documentation to ensure validity prior to mobilisation.
• Maintain accurate mobilisation trackers, compliance registers and document expiry trackers.
• Ensure all employee records and documentation are stored correctly using company document management procedures and naming conventions.
• Book pre-employment, periodic and client-required medical assessments through approved providers and online booking systems.
• Coordinate travel, accommodation and logistics for personnel in line with mobilisation schedules.
• Process personnel through client online systems, including onboarding, inductions and workforce management portals.
• Monitor training, certification and medical expiry dates and proactively coordinate renewals to maintain workforce compliance.
• Liaise with employees, clients, travel providers, training providers and internal stakeholders to ensure mobilisation deadlines are achieved.
• Follow up with personnel to ensure all required documentation, forms, inductions and pre-mobilisation requirements are completed within required timeframes.
• Data validation and cleansing to ensure the accuracy and integrity of workforce records.
• Identify, escalate and assist in resolving mobilisation or compliance issues that may impact project schedules.



Skills and Qualifications:

Must have:

• Demonstrated experience in a Mobilisation Coordinator role specifically within the shutdowns and maintenance area.
• Experience coordinating workforce mobilisation within the mining, civil, construction, resources or related industries.
• Proficiency in Microsoft Word, Excel and Outlook.
• Strong understanding of mobilisation processes, workforce compliance and document management.
• Excellent organisational skills with strong attention to detail.
• Ability to manage multiple priorities in a fast-paced environment while meeting strict deadlines.
• Strong communication and stakeholder management skills.
• Ability to work both independently and collaboratively within a team.

Nice to have:

• Experience using client mobilisation platform INX (+process) – Highly desirable
• Experience coordinating travel and accommodation logistics.
• Strong problem-solving and decision-making skills.
• Learning agility with the ability to quickly adapt to new systems, client requirements and processes.
• Continuous improvement mindset with the ability to identify and implement process efficiencies.
