Mortgage Admin Assistant

Job Summary: We're inviting applications from a detail-oriented Mortgage Loan Processor to take ownership of back-office loan processing for our established, growing mortgage broking business. You'll prepare compliance documentation and loan applications, lodge files with lenders, and keep each file progressing from submission through approval to settlement. We're after someone with hands-on Australian mortgage processing experience who knows the major lodgement platforms and takes pride in getting compliance right the first time.

Key Responsibilities:

• Prepare accurate, complete client compliance documentation for every loan file
• Build loan applications and lodge them through ApplyOnline and Loan App
• Check borrower supporting documents for completeness and consistency before lodgement
• Keep client and loan file records accurate in Infinity
• Follow each file from submission through approval to settlement
• Chase outstanding borrower documents and follow up on lender conditions
• Update borrowers on document requests and file status
• Keep the broker informed about pipeline status, delays, and anything needing attention
• Support a growing pipeline of loan files as the business scales

Mandatory Skills:

• Proven experience in Australian mortgage loan processing or mortgage broker support
• Hands-on experience lodging loan applications through ApplyOnline and/or Loan App
• High accuracy and attention to detail in preparing compliance documentation
• Excellent written English for borrower and lender correspondence
• Strong organizational skills and the ability to track many loan files at different stages
• Diligent, precise, and self-sufficient
• Strong communication skills and a proactive approach to follow-ups

Preferred Skills:

• Experience with Infinity CRM
• Confidence speaking with borrowers over the phone
• Working knowledge of Australian responsible lending and Best Interests Duty documentation requirements
• Familiarity with major Australian lender policies and the settlement process
• Experience supporting a broker within an aggregator group
• Skilled at managing multiple loan files in tandem while meeting lender timeframes
