What they need
About the Role
Chauncey Group is seeking a motivated, organized, and accountable Multi-Site Property Manager to manage the day-to-day operations of a growing market-rate residential portfolio of more than 120 units across 40+ properties located throughout Livingston, Genesee, and Wyoming Counties.
This portfolio is managed for one ownership group, rather than multiple unrelated third-party owners. That allows the Property Manager to deeply understand the properties, residents, operations, and long-term goals of the portfolio and take meaningful ownership of how the business runs.
This is not simply an administrative or task-based role. We are looking for someone with prior property management experience who is capable of quickly learning our portfolio, systems, and operating procedures and taking ownership of day-to-day property management responsibilities.
The Property Manager will serve as a primary point of contact for residents and will be responsible for keeping leasing, renewals, resident communications, collections, documentation, and other operational items organized and moving forward.
This position works closely with company ownership, maintenance staff, and other team members. Certain higher-level decisions remain with ownership, including final application approvals, major legal decisions, maintenance prioritization, and financial disbursements.
Compensation & Experience
Compensation range: $24–$30/hour ($50,000 - $62,000 per year) + leasing performance incentives, based on experience. We are seeking candidates with prior direct property management experience.
Candidates should already understand the fundamentals of residential property management and be comfortable handling resident communication, leasing activity, lease administration, collections, maintenance-related coordination, and general portfolio operations.
The exact compensation offered will depend on the candidate's experience, demonstrated ability, communication skills, organization, and ability to independently manage day-to-day responsibilities.
Core Responsibilities
Leasing & Occupancy
- Manage prospective tenant leads and follow-up
- Manage the leasing pipeline in LeadSimple
- Coordinate tours with showing staff
- List available apartments in assigned leasing platforms
- Coordinate applications and prepare application information for final approval by ownership
- Prepare leases and route them for signature
- Communicate with approved applicants regarding security deposits and first month's rent
- Manage lease renewals from initial outreach through signature
- Coordinate move-ins and move-outs
- Handle routine lease amendments, including adding or removing occupants and other approved lease changes
- Keep vacancies moving and identify leasing issues early
Resident Accounts & Collections
- Monitor resident balances and payment activity
- Communicate professionally with residents regarding delinquent balances
- Follow up consistently on outstanding balances and payment commitments
- Manage routine collection communication and payment-plan follow-up
- Prepare 14-day notices and other collection-related documentation when directed
- Track deadlines and escalate accounts to ownership when a decision is needed
- Add approved charges to resident ledgers as needed
- Record receipts and process deposits
- Maintain accurate records and ensure balances continue moving toward resolution
Legal & Lease Administration
- Prepare 14-day notices, eviction notices, court documentation, and court packets
- Coordinate service of legal documents
- Coordinate notarization and required supporting documentation
- Maintain organized records for active legal matters
- Complete documentation accurately and on time
- Escalate legal or lease-related questions to ownership when judgment or approval is required
Resident Communication
- Serve as a primary point of contact for residents for routine day-to-day matters
- Handle complaints, follow-ups, notices to enter, move-in questions, lease-related questions, abandoned property matters, and routine lease violations
- Communicate professionally by phone, text, and email
- Handle direct and sometimes difficult conversations appropriately
- Maintain clear documentation of important resident communication
- Escalate significant or unusual matters when necessary
Portfolio Management & Communication
- Maintain organized and accurate records across company systems
- Keep inboxes, resident communications, leasing pipelines, calendars, legal deadlines, and follow-ups organized
- Manage responsibilities across more than 40 individual properties
- Prioritize competing responsibilities during busy periods
- Provide ownership with clear updates on leasing, collections, resident issues, and operational concerns
- Take ownership of assigned issues until they are resolved or properly escalated
- Ensure important tasks do not sit unresolved or get lost in the day-to-day workload
What We’re Looking For
You should be:
- Highly organized, reliable, and consistent with follow-up
- Comfortable managing multiple priorities in a fast-paced environment
- Personable, outgoing, and confident communicating regularly with residents, applicants, vendors, and coworkers
- Professional and comfortable handling difficult conversations by phone, text, and email
- Structured in how you manage your day, deadlines, and open tasks
- Tech-savvy and able to quickly learn new software, systems, and procedures
- Able to work independently, use sound judgment, and know when to escalate an issue
- Detail-oriented, accountable, and naturally inclined to take ownership and solve problems
Prior direct residential property management experience is required.
Experience with leasing, resident relations, collections, lease administration, maintenance coordination, and property management software is expected.
Technology & Training
We use technology extensively to keep the portfolio organized and efficient, including:
- Rentvine
- LeadSimple
- Gmail and Google Calendar
- Gusto
- Zillow and other leasing platforms
- ChatGPT and other productivity tools
Detailed internal guides, operating procedures, and training are provided.
Because this position requires prior property management experience, the expectation is that the selected candidate will be able to onboard quickly, learn our specific systems and portfolio, and begin taking meaningful responsibility early in the training process.
Schedule & Work Expectations
This is a full-time, primarily on-site position based in Rochester, NY, with normal working hours of Monday through Friday, 9:00 AM–5:00 PM.
Because property management is an operating business, occasional responsiveness outside normal hours may be needed for urgent maintenance, leasing activity, move-ins, turnovers, or other time-sensitive situations.
Growth Opportunity
This role has meaningful opportunity for increased responsibility over time.
The selected candidate will initially work closely with ownership while learning the portfolio, company procedures, and internal systems. As trust, knowledge, and performance are demonstrated, the Property Manager may take on greater independence and responsibility across portfolio operations.
The goal is to develop a long-term team member who becomes highly knowledgeable about the properties, residents, systems, and day-to-day operations of the portfolio.
