Anthem Music and Creative Arts Ltd.

Music School Administrator & Urmston Site Coordinator
Anthem Music School, Urmston Hours: 31.75 hours per week Salary: £21,463 per year, plus additional paid hours where applicable Part-time job share also available
Help us run a music school that makes a real difference to local children
Anthem Music School isn't your average music school.
Founded in 2012 by musicians Rachel and Adam Atkins, Anthem has grown into a busy music community helping children learn instruments, perform, make friends and, most importantly, build confidence through music.
We're looking for a brilliant person to become a key part of running our Urmston Music School.
We're also very happy to consider two great people sharing the position, so applicants can apply for either the complete role or one of our two part-time job-share positions.
This is much more than sitting behind a reception desk.
We want somebody who will take ownership of the building, care about how it looks and feels, build great relationships with our families and teachers and take genuine pride in helping Anthem Urmston succeed.
When you're working, you'll be one of the key people responsible for making sure our lessons, building and customer experience all run smoothly.
Full Position
The regular working hours are:
Monday: 3:45pm–8:30pm Tuesday: 3:45pm–8:30pm Wednesday: 3:45pm–8:30pm Thursday: 3:45pm–8:30pm Friday: 3:45pm–8:30pm Saturday: 9:00am–5:00pm
31.75 regular hours per week
At £13 per hour, this is approximately £21,463 per year, before any additional hours.
Job-Share Option
We're also happy to appoint two people to share the position.
Our preferred split would be:
Position A
Monday: 3:45pm–8:30pm Tuesday: 3:45pm–8:30pm Saturday: 9:00am–1:00pm
13.5 hours per week
At £13 per hour, this is approximately £9,126 per year, before any additional hours.
Position B
Wednesday: 3:45pm–8:30pm Thursday: 3:45pm–8:30pm Friday: 3:45pm–8:30pm Saturday: 1:00pm–5:00pm
18.25 hours per week
At £13 per hour, this is approximately £12,337 per year, before any additional hours.
Applicants should make it clear whether they are interested in the full position, Position A or Position B.
Both job-share positions are important parts of the Urmston team. We don't want either person to feel like they are simply covering a few reception shifts. We want both team members to take ownership of the school while they are on duty and work together to provide a consistently brilliant experience for our students and families.
Flexibility Around Finishing Times
The hours above are our regular scheduled working hours, but flexibility around finishing time is an important requirement of this position.
You will be responsible for helping us ensure the smooth and safe running of all classes taking place while you are on duty.
On weekday evenings, you will therefore be expected to remain on site until the final scheduled class has finished.
Occasionally this may mean working beyond the normal 8:30pm finish, up to approximately 9:00pm.
You will be expected to remain on site until:

The final class has finished

Students have been safely collected or exited in line with our procedures

Teachers and students have left

Any immediate issues have been dealt with

The building has been properly closed and secured where you are the closing member of staff

Any additional time worked will either be paid as additional hours or taken as time off in lieu, as agreed with management.
For planned timetable changes, you will receive at least 24 hours' notice of any change to your regular working hours.
As Anthem Urmston grows, we may introduce additional classes, workshops and activities. This may also create opportunities for additional paid hours.
We're therefore looking for somebody who enjoys having a regular working pattern but understands that they are helping us run a busy music school, rather than simply working a fixed reception shift.
What You'll Be Responsible ForRunning the Music School
You'll help make sure everything runs smoothly while lessons are taking place.
Your responsibilities will include:

Welcoming students and families into Anthem

Creating a friendly, organised and professional environment

Being a visible and approachable point of contact while lessons are running

Closing and securing the building

Making sure the school is ready for the next teaching day

This Is a People-Facing Role
We're not looking for somebody who wants to spend their entire shift sitting quietly behind a computer.
Our students and families are at the heart of Anthem.
You should be completely comfortable:

Giving a child a high-five after a brilliant lesson

Asking children how their lesson went

Learning students' names

Celebrating their achievements

Greeting families when they arrive

We want those interactions to make people feel that Anthem is somewhere they are known, welcomed and valued.
Handling Parent Concerns:
Occasionally a parent will have a question, problem or concern.
You don't need to have every answer immediately.
You do need to be able to remain calm, listen carefully and reassure them that we will resolve their issue promptly.
We're looking for somebody who can:

Stay calm when somebody is frustrated

Listen without becoming defensive

Show that they understand the concern

Reassure the parent that we'll deal with the issue

Gather the information we need

Pass the concern to the appropriate person where necessary

Make sure the issue isn't simply forgotten about

We want parents to leave a conversation feeling:
"They've listened to me, they've taken this seriously and I know somebody is going to sort it."

Keeping records accurate and up to date

Supporting our central administration and management team

Helping solve the day-to-day problems that naturally occur in a busy music school

You'll regularly have several things happening at once, so being organised and knowing what needs your attention first is really important.
Taking Pride in Anthem Urmston
This is one of the most important parts of the position.
We want somebody who thinks:
"This is my building while I'm here and I want it to look brilliant."
That means:

Keeping reception tidy and welcoming

Keeping waiting areas presentable

Checking teaching rooms

Keeping resources organised

Spotting cleanliness issues

Reporting maintenance problems

Helping keep communal areas organised

Noticing when something doesn't look right

Taking action rather than assuming somebody else will deal with it

We're looking for somebody who takes genuine satisfaction from seeing a busy evening run smoothly and leaving the building knowing everything has been looked after properly.
Saturday Handover
If the position is job-shared, both team members will work every Saturday. We are also open to sharing one Saturday on followed by one Saturday off - to be discussed and arranged with your line manager.
Position A: 9:00am–1:00pm Position B: 1:00pm–5:00pm
There will be a handover at 1:00pm so any important information, outstanding parent enquiries, teacher issues or operational problems can be passed between the two team members.
We expect both people to communicate well with each other and work as one team.
Concert Participation
Performance is a huge part of Anthem.
Our students work towards major performances throughout the year and participation in our two main annual concerts is a required part of this role.
You will be required to work as part of the Anthem event team at our:
Summer Concert
and
Christmas Concert
Plenty of advance notice will be given for these dates each year so you can plan around them.
Concert days are some of the biggest and most exciting days in the Anthem calendar, involving hundreds of children and families.
Your responsibilities may include:

Checking students in

If the regular position is split between two employees, both job-share team members will be expected to participate in our Summer and Christmas concerts.
