What they need

We are looking for a proactive, organised and professional Office, Accounts & Client Relations Coordinator to join our growing team.

This is a varied, client-facing role and would suit someone who is confident, energetic, highly organised and comfortable taking responsibility for the smooth day-to-day running of a busy office.

You will often be the first point of contact for our clients, both on the telephone and when they visit our office, so a professional manner, excellent communication skills and the ability to represent the company positively are essential.

Key Responsibilities

  • Answer incoming telephone calls and deal with client enquiries professionally and efficiently.
  • Welcome clients and visitors to the office and ensure they receive an excellent first impression of the company.
  • Coordinate client meetings with our Designers, CDM team and other members of staff.
  • Manage diaries, appointments and meeting schedules.
  • Maintain regular communication with clients and follow up on enquiries, quotations and ongoing projects.
  • Use Xero for day-to-day accounts administration, including raising invoices, recording payments and general bookkeeping support.
  • Maintain accurate client and project information within our CRM and internal systems.
  • Prepare quotations, proposals, documents and client correspondence.
  • Liaise with Designers, CDM, Sales, Operations and other internal teams to keep projects and client requirements moving efficiently.
  • Assist with purchase orders, supplier documentation and general office administration.
  • Organise and maintain electronic files and company records.
  • Support management with reports, spreadsheets and general administrative requirements.
  • Help coordinate promotional activities, client communications and company events where required.
  • Take ownership of day-to-day office organisation and proactively identify tasks that need attention.

About You

We are looking for someone who:

  • Has previous experience in office administration, client relations, sales support, accounts administration or a similar role.
  • Is confident and professional when dealing with clients face-to-face and over the telephone.
  • Has excellent spoken and written English.
  • Is friendly, presentable and maintains a professional appearance appropriate for a client-facing business environment.
  • Is proactive and comfortable taking initiative rather than waiting to be given every task.
  • Is highly organised and able to manage several priorities at the same time.
  • Has good attention to detail.
  • Is confident using computers and business software.
  • Has experience using Xero, or is able to learn it quickly.
  • Is proficient with Microsoft Office, particularly Outlook, Word and Excel.
  • Is comfortable learning CRM and project-management systems.
  • Can work independently while also communicating effectively with the wider team.
  • Has a positive, solutions-focused approach to clients and colleagues.

What We Offer

  • A varied role with genuine responsibility within a growing company.
  • Direct interaction with clients, management and our design/project teams.
  • Opportunity to develop experience across client relations, accounts, sales administration and project coordination.
  • Supportive and professional working environment.
  • Opportunities for increased responsibility as the company grows.
