What they need

Join a different kind of financial planning firm

We’re looking for an organised, proactive and personable Office Administrator & Client Services Coordinator to join our team in Totnes, Devon.

This is an opportunity to become part of an award-winning, Chartered and B Corp certified financial planning business that believes financial advice should make a positive difference to people’s lives and the world around us.

Based in our Totnes office, you’ll play an important part in its day-to-day running, supporting our Financial Advisers, welcoming clients and helping ensure everything runs smoothly behind the scenes.

We’re looking for someone who enjoys variety, takes pride in getting the details right and wants to contribute to a collaborative, values-led business.

About Path Financial

Path Financial is a growing, independent financial planning and wealth management business with clients and colleagues across the UK.

We believe financial planning should be about more than money. Our approach combines expert financial advice with a commitment to helping people make informed choices that align with their goals and values.

We’re proud to be a Chartered financial planning firm and a certified B Corporation, reflecting our commitment to high professional standards, responsible business and positive social and environmental impact.

Our recognition also includes Good with Money’s Good Egg recognition, FT Adviser Boutique Adviser Top 10 recognition and Ethical Consumer Best Buy recognition.

As we grow our presence in Totnes, we’re building on our existing local advice team and creating an opportunity for talented people to help shape our future.

The role

As our Office Administrator & Client Services Coordinator, you’ll help create a welcoming, professional and well-organised environment for clients and colleagues.

This is an office-based role in Totnes, combining office coordination, administrative and personal assistance support, and client service. You’ll work closely with our local Financial Adviser while collaborating with colleagues across our wider operations and client services teams.

You’ll help ensure appointments are well organised, documentation is ready when needed and administrative tasks are followed through.

Your responsibilities will include:

  • Coordinating the day-to-day administration of our Totnes office, keeping it organised, well supplied and ready to welcome clients.
  • Providing administrative and personal assistance support to our Financial Advisers, including diary management, appointment scheduling, travel arrangements and correspondence.
  • Welcoming clients and visitors, preparing meeting spaces and helping create a positive experience from the moment they arrive.
  • Handling incoming calls, emails and general client enquiries professionally, directing queries to the appropriate colleague where necessary.
  • Preparing meeting packs, client documentation and supporting materials ahead of adviser appointments.
  • Maintaining accurate and up-to-date client records within our client relationship management system and other files.
  • Supporting client onboarding, data entry and ongoing administrative processes.
  • Coordinating internal meetings, team events, client appointments and bookings.
  • Managing incoming and outgoing post, ordering office supplies and handling other practical office arrangements.
  • Working with our wider operations and client services teams to keep tasks organised and support the smooth running of the business.
  • Upholding Path’s values and maintaining high standards of accuracy, professionalism and confidentiality.

About you

We’re looking for an approachable, dependable administrator who enjoys supporting others and keeping a busy office organised. You’ll be comfortable managing competing priorities, communicating with clients and taking responsibility for completing tasks accurately and on time.

You’ll bring:

  • At least two years’ experience in office administration or a comparable support position.
  • Strong organisational skills, with the ability to coordinate appointments, prioritise work and keep colleagues informed.
  • Clear written and verbal communication and a welcoming, professional manner with clients and visitors.
  • Confidence using Outlook, Word and Excel, alongside a willingness to learn unfamiliar systems.
  • Careful attention to detail, discretion when handling confidential information and the ability to work both independently and collaboratively.

Desirable experience

We would particularly welcome experience in financial planning, wealth management or another professional services setting. Familiarity with Salesforce, DocuSign or SharePoint, and experience providing personal assistance or coordinating office activities, would also be helpful.

Financial services experience is not essential. We welcome applications from administrators whose skills and experience would transfer well to this role.

Why join Path?

You’ll have the opportunity to make a practical contribution across adviser support, client service and business administration, using your organisational skills in a role with plenty of variety.

You’ll also have the chance to help shape our growing Totnes office, working closely with colleagues in a business that values professional standards, responsible financial planning and a positive client experience.

We offer a benefits package designed to support your wellbeing and professional development. This includes a generous holiday allowance, private health insurance, a cycle-to-work scheme and generous employer pension matching contributions. We also provide a dedicated study budget to support your ongoing professional development and career progression.

Pay: £26,500.00-£45,000.00 per year

Benefits:

  • Company events
  • Company pension
  • Cycle to work scheme
