What they need
Looking for the best.
We are looking for an experienced Office Administrator who combines strong attention to detail and document accuracy with a practical, hands‑on approach to running a busy professional office.
This role supports both the quality of our externally issued documentation and the day‑to‑day coordination that keeps our team operating efficiently — from systems and reporting through to office logistics and general “engine‑room” tasks.
ASJ is a boutique property consultancy based on Auckland’s North Shore, providing Commercial Building Surveying, Architecture, Project Management, Passive Fire and Fire Engineering services.
The role:
This is a varied, all‑round administration role supporting professional staff, projects, and office operations.
Key responsibilities include:
- Proofreading, formatting, and conducting final quality assurance checks on externally issued documents to ensure accuracy, consistency, and professional presentation
- Preparing, maintaining, and managing document systems and resources, including templates, tenders, reports, and user guides
- Supporting project and job administration, including job setup, tracking milestones and deadlines, and maintaining accurate records
- Coordinating general office operations such as supplies, consumables, facilities, and service providers
- Coordinating occasional logistics tasks such as vehicle servicing and maintenance, courier arrangements, and other practical office requirements
- Managing shared inboxes, task allocation, and internal communications
- Supporting onboarding and offboarding, asset and register management, and general business administration
About you:
This role will suit someone who takes pride in doing the detail well, is comfortable handling both routine and complex tasks, and understands the importance of quality in a professional services environment.
You will bring:
- Strong written communication skills and a careful eye for detail
- Confidence proofreading professional documents and spotting errors before they leave the office
- A practical, proactive mindset — you notice what needs doing and take ownership
- Solid organisational skills and the ability to juggle competing priorities
- Proficiency in MS Office and Adobe systems
- A professional, approachable manner with clients, suppliers, and colleagues
- A full, current clean driver’s licence
What we offer:
- Flexible hours for the right candidate
- A supportive, close‑knit team of professionals
- Varied and rewarding work with strong client relationships
- A spectacular office in the heart of Takapuna with expansive views
Working with ASJ is about balance — quality work, mutual respect, and people who pull their weight.
To apply for this job, you must be in New Zealand, have the right to work in New Zealand, and be brilliant.
Other offers great for you!
