The opportunity
Do you enjoy helping people and keeping everything running smoothly? We're looking for an organised, friendly Office Administrator to be a welcoming presence in our Auckland office.
Working with our Executive Assistant, you'll look after reception and everyday office needs, organise meetings and travel, and help prepare executive and Board material. There's plenty of variety, with colleagues, members and visitors all relying on your helpful approach and eye for detail.
What you'll be doing
Welcome visitors and manage incoming calls, email enquiries, mail and deliveries.
Coordinate meeting rooms, technology, catering, events and visitor requirements.
Assist with the preparation, formatting, collation and secure distribution of meeting and Board material.
Support travel, accommodation, routine purchasing, invoices and supplier arrangements.
Maintain office supplies, facilities information, records, access and security requirements.
Provide practical administration support to the Executive Assistant, Chief Executive and Auckland-based teams.
About MTA
For more than 100 years, we've helped New Zealand's automotive businesses thrive. Our members work across the industry, from vehicle repair to sales, servicing, fuel, recycling, import, distribution, and more. We support them with practical services, advocate on their behalf and help lift industry standards. Joining MTA means being part of that work.
About you
You're approachable, reliable and happy to lend a hand. You notice the small things that make an office work well, follow through on requests and know when information needs to stay confidential. You'll enjoy a varied day and take pride in making life easier for the people around you.
What you'll bring
Experience in office administration, reception, executive support or a comparable service role.
Experience coordinating meetings, travel, suppliers, facilities and routine purchasing.
Strong Microsoft 365 and digital administration skills.
Excellent organisation, prioritisation and attention to detail.
Clear and professional written and verbal communication.
Sound judgement, discretion and a calm, practical approach to competing requests.
A relevant administration or business-support qualification, or equivalent practical experience.
We'd love to hear from you. Apply with your CV and a cover letter telling us what interests you about the role and the experience you'd bring.
