  • Manage office suppliers and vendors, including cleaning, security, stationery, couriers and catering.
  • Support office OPEX management, including invoices, budgets, accruals, cost tracking and identifying opportunities for cost savings.
  • Maintain office asset and company device registers and coordinate the allocation, return, transfer and disposal of company equipment.
  • Work closely with IT, Finance and HR to support asset management and resolve discrepancies.
  • Support WHS administration, including risk assessments, incident records, emergency procedures, Fire Warden and First Aid arrangements, drills and training records.
  • Support HR and IT with employee onboarding and offboarding to ensure employees are appropriately set up from day one.
  • Assist with basic IT onboarding and computer setup under the guidance of the IT team.
  • Manage company subscriptions, memberships and software licence records, including renewals and cancellations.
  • Coordinate internal company events, including Town Halls, team events, Melbourne Cup and Christmas celebrations.
  • Support Marketing with external conferences, trade shows and seminars, including registrations, logistics, equipment and vendor coordination.
  • Prepare regular administrative and operational reports for the Corporate Planning team.
  • Assist Directors and senior executives with expense claims, supporting documentation, fleet administration and general administrative requirements.

About You

To be successful in this role, you will ideally have:

  • Previous experience as an Office Administrator, Administrative Assistant, Office Coordinator or in a similar position.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Korean language proficiency is preferred
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and problem-solving abilities.
  • Confidence working independently and taking ownership of tasks.
  • A proactive, self-motivated and hands-on working style.
  • The ability to build positive working relationships with employees, executives, suppliers and other stakeholders.

What We’re Looking For

You will be someone who enjoys making things happen and takes pride in creating an organised and well-run workplace. You are approachable, service-oriented and comfortable working with people at all levels of the organisation.

You will thrive in a role where no two days are exactly the same and where you can take ownership, solve problems and continuously improve how the office operates.
