The Opportunity

We’re looking for an experienced Office Administrator to join MHIAA at our Regents Park head office in Sydney on a 12-month fixed-term contract, with a view to permanent.

This role sits within the People & Culture team and reports to the Facilities & Administration Manager. You’ll provide broad administration and office support across the business, including reception coverage, corporate travel, fleet coordination, office catering, facilities management and day-to-day office requirements. You’ll work with people across the organisation and external service providers to keep the office running smoothly and professionally.

Standard hours are 9:00am–5:00pm. From time to time, you’ll also be required to work 8:00am–4:00pm or 10:00am–6:00pm to help cover reception during team leave. After successfully completing probation, hybrid working arrangements are available with two days per week working from home.

What You’ll Be Doing

• Provide day-to-day administration support across the business and help keep office operations organised.

• Coordinate corporate travel arrangements and liaise with employees and travel providers as required.

• Support fleet administration, including coordinating vehicle-related information, suppliers and general fleet requirements.

• Raise and manage purchase orders and follow up on office-related purchasing and supplier requirements.

• Coordinate office catering, team lunches, internal events and training requirements.

• Manage office supplies, stationery, couriers and general facilities requirements.

• Answer incoming calls, assist with reception coverage and direct enquiries to the appropriate team.

• Respond to internal and external enquiries professionally, escalate issues when needed and maintain accurate records.

What We’re Looking For

• At least 2 years’ experience in office administration, coordination or a similar support role.

• Experience working in a white-collar corporate environment.

• Hands-on experience arranging corporate travel.

• Previous fleet administration or fleet coordination experience.

• Experience organising office catering, staff functions or internal events.

• Confidence raising and managing purchase orders, with strong attention to detail.

• Strong Microsoft Office skills and the ability to learn business systems quickly.

• Clear, professional communication skills with a customer-focused approach and the ability to manage competing priorities.

Desirable

• Prior exposure to Microsoft Dynamics 365 Business Central.

• Experience within a manufacturing, technical or product-based business.

Why Join MHIAA?

• Ongoing learning and development opportunities to support your career growth

• Access to our Employee Assistance Program (EAP)

• A collaborative, supportive culture that values inclusion and innovation

• Monthly team lunches and a friendly team environment

  • Hybrid working arrangements with two days per week from home after successfully completing probation
