What they need

Service Coordinator / Office Administrator

Company: Limegreen
Location: Cardiff, South Wales
Salary: £24,000-£26,000 per year, depending on experience
Job type: Full-time, permanent
Working hours: Monday to Friday

About Limegreen

Limegreen is a family-run home energy and home improvements business established in 2012 by two brothers. Based in Cardiff, we have grown into an established local company providing a range of services, including boilers and heating, plumbing, fireplaces, air conditioning, solar PV and battery storage.

As our business continues to grow, we are looking for an organised, enthusiastic and proactive Service Coordinator / Office Administrator to join our office team.

This is a varied role with the service department at its heart. You will help keep our day-to-day operations running smoothly, support our engineers and office colleagues, communicate with customers and suppliers, and play a part in generating business through customer follow-ups and friendly sales calls.

We are looking for someone who takes pride in their work, enjoys keeping things organised and is happy to get involved wherever they can make a difference.

The role

Your main responsibility will be supporting our service team, helping ensure jobs are booked efficiently, customers are kept informed and outstanding tasks are followed up.

You will also have allocated time to support our other departments, so this is an ideal opportunity for someone who enjoys variety and wants to become an important part of a growing business.

Key responsibilities

Service coordination and administration

  • Booking customer appointments and scheduling service jobs.
  • Supporting the service team with the day-to-day coordination of jobs and engineer activities.
  • Monitoring outstanding tasks and helping ensure jobs progress as planned.
  • Answering incoming telephone calls and responding to customer emails.
  • Keeping customer records and internal systems up to date.
  • Liaising with engineers, colleagues and customers to help resolve scheduling issues.
  • Providing general administrative support to keep the department running efficiently.

Supplier and quotation management

  • Contacting suppliers to chase orders, delivery updates and outstanding information.
  • Following up on outstanding customer quotations and keeping track of responses.
  • Communicating with other departments to ensure information is shared and actions are completed.
  • Identifying issues or delays and bringing them to the attention of the relevant team members.

Customer care and sales support

  • Making friendly outbound calls to prospective customers interested in our Warmcare boiler servicing and maintenance plans and Coolcare air conditioning servicing plans.
  • Following up on enquiries and helping customers understand the services available to them.
  • Contacting customers who have received quotations to see whether they need any further information.
  • Building positive relationships with customers and helping deliver a professional, helpful experience.
  • Supporting customer retention and identifying opportunities for additional work where appropriate.

Wider business support

  • Providing administrative assistance to our fireplace, heating, air conditioning and renewables departments when required.
  • Helping with general office tasks and other reasonable duties as the business develops.
  • Working collaboratively with colleagues to keep everything moving in the right direction.

About you

We are more interested in finding the right person than someone who ticks every box on a CV.

You might already have experience in administration, customer service, scheduling or a coordination role. Equally, if you have the right attitude, strong organisational skills and a willingness to learn, we would be happy to hear from you.

We are looking for someone who:

  • Is organised, reliable and able to manage several tasks at once.
  • Is confident speaking to customers, suppliers and colleagues over the telephone.
  • Has a friendly, professional manner when answering calls and responding to emails.
  • Takes initiative and follows tasks through to completion without needing constant reminders.
  • Is comfortable making outbound calls and following up with customers.
  • Has good attention to detail and can keep accurate records.
  • Is comfortable using computers, email and basic office software.
  • Communicates well and works effectively as part of a team.
  • Is adaptable and happy to support different areas of the business when needed.

Previous office administration or customer service experience would be beneficial, but a positive attitude, common sense and a proactive approach are just as important.

Experience in the heating, plumbing, air conditioning, solar or home improvements industry would be useful, but is not essential as training will be provided.

What we offer

  • A competitive salary of £24,000-£26,000 per year, depending on experience.
  • Full-time, Monday to Friday working hours.
  • The opportunity to join an established, family-run Cardiff business.
  • A varied role where you can develop your skills and take on additional responsibility.
  • Support and training to help you learn our systems, services and processes.
  • The opportunity to work alongside a friendly team across several areas of the business.
  • The chance to make a genuine contribution as Limegreen continues to grow.

Why join Limegreen?

At Limegreen, we believe a good business is built on good people. We want someone who will become a valued member of the team, take ownership of their responsibilities and help us deliver the level of service our customers expect.

This isn't a role where you'll be doing the same thing every day. You'll be helping solve problems, keeping jobs on track, speaking to customers and supporting different departments across the business.

If you're someone who likes to stay busy, enjoys helping people and takes satisfaction in getting things organised and completed properly, we'd love to hear from you.

To apply, please submit your CV through Indeed. We look forward to hearing from you.

Pay: £24,000.00-£26,000.00 per year
