Job Introduction

Keep everything running smoothly and make a real impact behind the scenes.

As a part-time Office Administrator, you are the heart of our office operations. You ensure that daily activities run efficiently, provide essential support to colleagues, and create a welcoming experience for visitors, customers, and business partners. From coordinating administrative processes and managing office resources to handling correspondence and supporting internal communication, your work helps keep the entire organisation running smoothly.

In this role, you'll be the first point of contact for visitors, phone calls, and incoming mail, while ensuring administrative tasks are completed accurately and on time. If you are organised, proactive, and enjoy bringing structure to a dynamic environment, this is an opportunity to play a key role in the success of TGW Scandinavia.

Join us and help create an efficient, professional, and welcoming workplace where colleagues can do their best work every day.

WHAT YOU’LL BE HANDLING

  • You run the day-to-day office management, ensuring all facilities are well-maintained, while liaising with the landlord, cleaning company, and waste disposal companies, and arranging repairs to faulty office equipment and building facilities
  • You welcome customers and guests to the office, manage visitor access and passes, answer incoming telephone calls and e-mails, and forward calls, e-mails, and messages to the appropriate personnel
  • You manage the entrance keys and badges for TGW employees and oversee meeting room diaries
  • You execute general administrative duties, including document management for contractual documents, travel arrangements, meeting arrangements, minute taking, photocopying, and collating papers and mailings
  • You arrange lunch for clients and meetings, set up refreshments, and organise internal employee events such as the New Year party and summer BBQ
  • You monitor and order stationery, refreshment stocks, and other office supplies to ensure the office remains fully operational
  • You manage, order, and coordinate IT equipment and mobile phones, including subscriptions, ensuring all hardware and systems are in place, correctly configured, and fully operational for new employees on their first day
  • You receive deliveries from couriers, distribute them accordingly, and manage incoming and outgoing post
  • You support the smooth operation of the office through efficient coordination of resources, facilities, equipment, and administrative processes

WHAT YOU’LL NEED

  • You are a skilled administrator with experience in running an office and managing multiple priorities in a dynamic environment
  • You are available for 20 hours to work on Tuesday, Wednesday and Thursday
  • You have excellent administration and organisational skills, exceptional attention to detail, and the ability to work under pressure whilst meeting tight deadlines
  • You have strong verbal and written communication skills in both Swedish and English and are capable of writing reports, procedures, and business correspondence
  • You are self-motivated, highly customer-focused, and committed to delivering a professional service
  • You have a professional telephone manner and are confident communicating with a wide range of internal and external stakeholders
  • You are a team player with a bright and confident personality who enjoys contributing to a positive workplace culture
  • You have a flexible and mature approach to work and can operate effectively with minimal supervision
  • You hold a valid driving licence
