What they need
Location: Sheffield
Role: Office Assistant (Full-time)
Hours: 37.5 hours per week (Monday to Friday, standard office hours)
You are likely the person who gets a quiet sense of satisfaction from turning order into routine, keeping files neatly sorted, making sure schedules run to time, and making sure the practical details behind a team's day-to-day work are completely taken care of. You prefer working in a calm, organized way and take pride in being reliable, thorough, and easy to work with.
If you are looking for a steady administrative role where your organizational habits, clear communication, and attention to detail directly support a busy workplace, this full-time role in Sheffield is a great match. We are expanding our local operations team and need an organized, dependable Office Assistant to help run day-to-day front desk duties, document management, and general workplace administration.
Daily Administrative Tasks
Working closely with our office manager and internal team leads, your core duties will include:
- Managing the main reception desk, welcoming visitors, and issuing guest passes.
- Answering central office phone lines, taking accurate messages, and redirecting calls appropriately.
- Sorting incoming mail, managing courier dispatches, and logging daily post records.
- Maintaining accurate digital filing systems, data entry logs, and archive records.
- Monitoring office supply levels, ordering stationery, and keeping communal work bays tidy.
- Assisting with meeting room bookings, setting up AV equipment, and arranging refreshments.
- Formatting basic business documents, printing reports, and scanning documents for department leads.
- Supporting internal managers with routine schedule coordination and calendar updates.
What We Look For
We place far greater value on neat organizational habits, clear communication, and shift dependability than on a long history of corporate office experience. We look for:
- A polite, professional manner when answering phone calls and greeting visiting clients.
- Excellent attention to detail when filing documents, handling data entry, and taking messages.
- Good working knowledge of standard computer tools, including Microsoft Word, Excel, and Outlook.
- High personal standards regarding punctuality, daily attendance, and task follow-through.
- A calm, structured approach when balancing several routine admin tasks during the day.
- Previous experience in administration, customer service, reception work, retail, hospitality, or university coursework is a plus, but not essential as full training is provided.
Onboarding & Practical Skill Progression
We make sure you receive clear, step-by-step guidance so you feel confident handling every administrative system from week one.
Your induction begins by pairing up with an experienced administrator to learn our internal databases, filing frameworks, and postal procedures. Through regular catch-ups with your supervisor, you will receive constructive feedback on task handling, file management, and software tools. As you become familiar with our daily routines, you will take ownership of specific administrative functions and build skills toward senior administrative coordinator roles.
