What they need
Get close to the work that makes a business run
If you want to build a career in an office, this is a chance to do more than keep a calendar up to date. As our Office Coordinator, you will be the person connecting departments, welcoming clients, and making sure meetings and daily operations run smoothly. You will report directly to the Director, giving you a close view of how priorities are set and how teams turn plans into action.
This is a hands-on position for someone who enjoys people, takes pride in getting the details right, and wants to grow into greater responsibility. You will have your own work to manage from day one, with the opportunity to learn by working alongside the Director and observing selected meetings.
What you will take ownership of
- Welcome clients and visitors, help them feel comfortable, and make sure they reach the right person.
- Coordinate information between departments so requests, decisions, and deadlines do not get lost between teams.
- Organize meetings, including calendars, room preparation, materials, visitor details, and any changes to the schedule.
- Check that meetings start smoothly, then record follow-up actions and help the right people stay informed.
- Support the Director with scheduling, correspondence, preparation, and day-to-day office priorities.
- Keep shared records, supplies, and office processes organized so colleagues can find what they need.
- Notice where a process could work better and bring practical ideas to the Director.
Some days, you will be the first person a client meets. On others, you may be helping two departments resolve a scheduling conflict or preparing for a meeting where you can see how a business decision takes shape. The common thread is good judgment: knowing what you can handle, what needs a quick answer, and when to bring something to the Director.
Who will enjoy this role
You communicate clearly, make people feel at ease, and follow through when you say you will do something. You are comfortable using email, calendars, and everyday office software, and you can stay organized when several people need your attention.
You do not need to have held an Office Coordinator title before. Experience in reception, hospitality, retail, campus organizations, or another busy, people-facing setting can give you a strong foundation. What matters is your willingness to learn, your attention to detail, and your interest in how a business works.
Where this could take you
Working closely with the Director will give you exposure to different teams and the thinking behind their decisions. As you build confidence, you can contribute more ideas, take ownership of office improvements, and develop the coordination and communication skills that support a longer-term business career.
If you want a role where people will rely on you, your ideas are welcome, and you can learn while doing meaningful work, we would like to hear from you.
